About the Role:


The Medical Office Receptionist serves as the first point of contact for patients and visitors in a healthcare setting, ensuring a welcoming and professional environment. This role is critical in managing patient flow, scheduling appointments, and maintaining accurate records to support efficient clinical operations. The receptionist facilitates clear communication between patients, medical staff, and administrative personnel, contributing to a seamless healthcare experience. By handling sensitive patient information with confidentiality and adhering to healthcare regulations, the receptionist upholds the integrity and compliance of the medical office. Minimum Qualifications:



  • High school diploma or equivalent.

  • Previous experience in a medical office or healthcare environment preferred.

  • Basic knowledge of medical terminology and healthcare office procedures.

  • Proficiency with computer systems, including electronic health record (EHR) software and standard office applications.

  • Strong communication and interpersonal skills.


Preferred Qualifications:



  • Certification as a Medical Administrative Assistant or equivalent.

  • Experience with specific EHR platforms such as Epic, Cerner, or Athenahealth.

  • Bilingual abilities, particularly in Spanish or other commonly spoken languages in the community.

  • Knowledge of insurance verification and medical billing processes.

  • Training in HIPAA compliance and patient privacy regulations.


Responsibilities:



  • Greet and check in patients promptly and courteously upon arrival.

  • Schedule, confirm, and reschedule patient appointments using electronic health record (EHR) systems.

  • Answer incoming phone calls, respond to inquiries, and direct calls to appropriate medical or administrative staff.

  • Verify patient insurance information and assist with the collection of co-pays or outstanding balances.

  • Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with HIPAA regulations.

  • Coordinate patient flow by communicating with medical staff regarding patient arrivals and delays.

  • Prepare and distribute patient intake forms and assist patients in completing necessary documentation.

  • Manage office supplies and ensure the reception area is organized and professional.

  • Assist with billing and administrative tasks as needed to support office operations.
