Office Specialist I - Receptionist Job Description


Under the supervision of school administration, plans, organizes and reviews complex clerical activities. This position provides general office support involving routine clerical duties, and generalized administrative support functions, including student enrollment and orientation and clerical support to the administration and Governing Body.
Terms of Employment: 12-month per Contract of Employment
Salary: The compensation for this position is in alignment with the BANV Governing Board approved Salary Schedule; Salary Schedule based on years’ experience and degree held. Compensation for all positions are determined by the Governing Board and Administration of Beacon Academy. Consideration is given for experience and specialized skills in determining salary.
Salary Range: $15.00 - $40.98
Classification: Hourly Non-Exempt


Essential Duties and Responsibilities:
1. Maintain accurate, complete, and correct records as required by law, corporation policy, and administrative regulations.
2. Demonstrate exceptional customer service skills at all times.
3. Accurately respond to telephone call inquiries and return phone messages promptly.
4. Answer telephone inquiries concerning the BANV educational program, school activities, and operations; accept, screen, and route telephone calls; greet and direct visitors as appropriate.
5. Accurately respond to email inquiries within 24-hours.
6. Collect and prepare new student enrollment applications for administrative approval.
7. Contacts potential new students for missing documents and schedules students for the academic consultations.
8. Demonstrate institutional knowledge and stay apprised of changes in regards to BANV programs, policies, and procedures.
9. Provide information to the public, teachers, and other employees regarding policies, regulations, school activities and rules.
10. Conforms to safety standards as prescribed.
11. Obtains and relays information from visitors on their needs and refers to appropriate staff as needed.
12. Schedules appointments, meetings and conferences for administration.
13. Prepares letters and reports in conformance with principles of style.
14. Interprets, explains, and applies written and oral instructions, procedures and regulations regarding the school within the realm of responsibility.
15. Organizes and maintains records and files.
16. Assist Administration and staff with postage and mass mailings of school related documentation.
17. Performs other tasks related to the position as assigned.
18. Oversees student check-in and check-out; ensures students do not leave campus without permission.
19. Organizes and maintains records and files in accordance with established procedures.
20. Responsible for placing purchase requisitions and orders for school office supplies; check-in of school/office supplies and equipment as received compared to the packing slip.
21. Has a willingness and capability to work beyond the normal workday.


Knowledge, Skills, And Abilities (Position Expectations):
1. Knowledge of, and ability to access, use, edit, and maintain student data record and technology-based (i.e., LMS/Infinite Campus) student reporting systems.
2. Knowledge of word processing, database, spreadsheet, desktop publishing, and data communication software.
3. Knowledge of the Nevada System of Higher Education (NSHE) admission requirements.
4. Ability to maintain confidentiality of data and knowledge of FERPA requirements.
5. Ability to keep information confidential and maintain an ethical attitude.
6. Ability to research, analyze, and perform mathematical computations.
7. Ability to compile, create/compose original reports, correspondence, and records.
8. Ability to interpret, explain, and apply written and oral instructions, policies, regulations, and procedures.
9. Ability to use computers and software applications related to assigned tasks.

Qualifications:

Qualifications:
1. Education – High School graduation or other equivalent (i.e.; GED, college, technical, or trade school transcript or foreign equivalency).
2. Writing/Communication Skills - Excellent use of the English language, excellent writing skills (correspondence through email is an essential component; recommend at least 40 wpm).
3. Bilingual preferred.
4. Computer Skills - Must be computer literate and extremely familiar with online/blended technologies. Must be adept at word processing; Excel spreadsheets, email, search engines, and web browsing.
5. Knowledge of Infinite Campus preferred.

1. Sufficient vision to read printed material, see distance objects with clarity, identify and distinguish objects, and be visually observant of classroom behavior and learning activities.

3. Ability to speak in an understandable voice with sufficient volume to be heard in normal conversation and on the telephone, and in addressing groups.

4. Ability to exert up to 25 pounds of force to lift, carry, push, pull, or otherwise move objects; ability to occasionally restrain or move up to 50-100 pounds if required to intervene during student safety issues.
5. This type of work requires occasional or frequent standing, walking, sitting, bending, or reaching for extended periods of time.
6. This type of work requires occasional or frequent stooping, kneeling, crouching or crawling during crisis scenarios such as hard lockdowns, earthquake drills, etc.
7. Sufficient manual dexterity and/or mobility to grasp and/or manipulate objects, operate mechanical equipment, and move about the work area.
8. Ability to operate, activate and use a computer and other office productivity machinery such as a calculator, copy machine and printer.
9. Employees in this classification may be subject to work environments that have exposure to weather or interiors with extremes of heat and/or cold, wet and/or humid conditions, temperature fluctuations, high noise levels, and various work related hazards such as bloodborne pathogens or other potentially infectious materials.
