JOB DESCRIPTION

 

Position:        Administrative Assistant to Human Resources

Reports to:     Assistant Superintendent and Director of Pupil Services & HR

Employment Status: Confidential Staff Position (non-union)

 

Position Summary
Assist the Assistant Superintendent and Director of Pupil Services & Human Resources
Coordinate the onboarding process for all new employees
Serve as a resource to staff about employee-related benefits

 

Required Education, Experience & Qualifications
HR degree preferred, High School Diploma required
Excellent computer skills with knowledge of various computer applications appropriate to duties
Meet all health requirements mandated by law
Satisfactory completion of the BCI and FBI background check
Possession of a valid motor vehicle license

 

Job Responsibilities & Duties

  • Assist in the District recruiting and hiring process
  • Assist in the transition to new human resource systems
  • Implement new staff records system and move to an electronic personnel file
  • Post open positions online
  • Coordinate the pre-employment process for new staff members including:
  • the administration of the computerized BCI/FBI background check
  • license verification
  • pre-employment paperwork
  • benefit enrollment forms
  • Coordinate and prepare personnel resolutions and documentation with District Administrators for Board of Education meetings
  • Along with the Director of Pupil Services & Human Resources, maintain accurate employment records/database of all District staff including dates of employment, current licensure, certifications, permits, contact information
  • Provide required employee data to EMIS Coordinator and Payroll Specialist, as needed
  • Ensure regulatory compliance with all Federal and State employment laws and ODE regulations for the maintenance of employee personnel files
  • In coordination with the Director of Pupil Services & Human Resources, process and monitor benefit enrollment applications, changes in benefits coverage/qualifying events and review billing statements for healthcare and life insurance programs
  • Prepare and maintain seniority lists for all certificated and classified staff members by department and certification
  • Prepare/distribute contracts and salary notifications, supplemental contracts, and service contracts for all District employees
  • Monitor the front door and phones for the central office administrative departments as needed
  • Process fee payments and provide reports to the Treasurer’s office
  • Organize and distribute mail and packages
  • Other duties as assigned

 

Required Knowledge, Skills, and Abilities

  • Ability to work effectively with others as part of a team
  • Ability to produce accurate and quality work with little supervision and high motivation to meet deadlines
  • Strong organizational skills and multitasking ability required
  • Ability to operate and troubleshoot computer and standard office equipment
  • Knowledge of Federal and State employment laws including but not limited to FMLA, Worker’s Compensation, FLSA, HIPPA, ADA/ADEA
  • Ability to prepare a variety of correspondence, job postings, memorandums, forms, and concise reports with speed and accuracy
  • Knowledge of correct English usage, grammar, punctuation, vocabulary, and spelling
  • Knowledge of computer office software application programs utilized for communication, accounting, word-processing

  • Provide dependable, competent service that is thorough, accurate and effective
  • Act as a unifying source, maintain excellent relations with co-workers and supervisors
  • Maintain the confidentiality of sensitive information
  • The employee shall follow any applicable licensure code of conduct.
  • The employee shall immediately report known and suspected misconduct of their co-workers or violations of Board policy and procedure by their co-workers.
  • The employee shall actively support the efforts of the Board of Education, Superintendent, and Treasurer/CFO in the pursuit of the District’s mission, goals, activities, and interests.
  • The employee shall not disrupt District operations or undermine the District’s mission, goals, activities, and interests.
  • The employee shall interact in a positive manner with staff, students, and the public and promote a positive image of the District through exemplary personal and professional conduct by:
  • Communicating clearly and effectively both orally and in writing, with tact, diplomacy and excellent grammar;
  • Demonstrating intercultural awareness and cultural competency;
  • Using effective listening skills; and
  • Remaining free of any alcohol or controlled substance abuse and the influence or aftereffects thereof in the workplace or at school events and activities.


Physical Demands

Ability to hear and speak, read and write, sit and/or stand for extended periods of time, use hands to operate a computer and other equipment, kneel, bend at the waist, reach overhead – above the shoulders and horizontally, to retrieve and store files and supplies, ability to lift, carry, push and pull items up to a maximum of fifty (50) pounds.

Salary : $51,000 - $73,500
