RESPONSIBILITIES
Wholesale Order Operations and EDI
- Own end-to-end wholesale order execution from PO intake through shipment, including order creation, acknowledgements, changes, cancellations, and invoicing readiness.
- Manage EDI flows through Orderful or SPS Commerce, ensuring successful transmission of POs, ASNs, invoices, and related documents; partner with IT as needed to resolve exceptions.
- Troubleshoot and resolve order blocks, fulfillment constraints, routing requirements, and retailer compliance issues within NetSuite.
- Drive chargeback prevention by ensuring routing, labeling, cartonization, and documentation requirements are met across all retail partners.
- Coordinate with 3PL teams and retail partner operations teams to ensure on-time fulfillment, accurate shipments, and smooth handoffs through the ship cycle.
- Maintain operational communication with key partners and serve as the day-to-day point of contact for order execution and compliance.
- Ensure clean and accurate data flow across NetSuite, Shopify, and retail partner systems, flagging and correcting discrepancies quickly.
- Partner with Planning to confirm inventory availability, account reservations, allocation priorities, and replenishment timing to support wholesale demand.
- Maintain accurate inventory visibility for internal teams and external partners, proactively flagging risks to fulfillment performance.
- Build and maintain weekly wholesale reporting and dashboards (fill rate, OTIF, cancellations, shortages, chargebacks, routing compliance).
- Monitor trends to surface risks, unblock bottlenecks, and identify cost, service, or process improvement opportunities.
- Map current workflows, identify root causes of manual work or errors, and implement improvements to reduce operational variance.
- Build automation or semi-automated solutions using Excel and system/process enhancements (NetSuite, Shopify, 3PL workflows).
- Document and maintain SOPs so processes scale cleanly as volume and partner complexity increase.
- Partner with Planning, Finance, Transportation, Customer Experience, Merchandising, and 3PL teams to ensure alignment across the order lifecycle and resolve issues quickly.
- Support other operational projects and related duties as assigned.
EXPERIENCE & SKILLS
- 3–5 years of experience in wholesale operations, order management, retail partner operations, supply chain operations, or related roles in a consumer brand environment (DTC experience a plus).
- Bachelor’s degree in Supply Chain, Business, Analytics, or related field preferred; equivalent experience accepted.
- Strong working knowledge of ERP systems required (NetSuite preferred), with confidence troubleshooting order holds/blocks, fulfillment constraints, and inventory visibility issues.Experience supporting wholesale EDI transactions and workflows (PO, ASN, invoice), ideally through platforms like Orderful or SPS Commerce.
- Familiarity with retail partner compliance requirements and chargeback prevention (routing guides, labeling, shipping documentation, OTIF expectations).
- Experience partnering with 3PLs to manage fulfillment execution and resolve shipment exceptions.
- Prior people management experience not required but considered a plus. This role may mentor junior team members and has the opportunity to support future team growth as the function scales.
- Strong Excel skills (pivot tables, lookups, XLOOKUP/INDEX-MATCH) and comfort building scalable trackers, dashboards, and scrappy tooling.
- Analytical and detail-oriented, with a track record of maintaining high data accuracy across systems and reporting.
- Process improvement mindset, with demonstrated ability to document SOPs and streamline workflows to reduce manual work.
- Clear, proactive communicator who can coordinate effectively with internal teams and external retail partner contacts.
