The Copy Center Specialist provides comprehensive document production, copying, scanning, printing, and records support services for attorneys, paralegals, and legal staff within the Department of Justice. This role is responsible for ensuring the accurate, timely, and confidential handling of legal documents, court filings, trial materials, and administrative records while maintaining compliance with DOJ policies and legal requirements.

Key Responsibilities

  • Operate and maintain high-volume copiers, printers, scanners, bindery equipment, and other document production systems.
  • Process and prioritize requests from attorneys, paralegals, investigators, and support staff to meet critical legal deadlines.
  • Produce, reproduce, assemble, organize, and distribute legal documents, briefs, pleadings, exhibits, discovery materials, trial notebooks, and case files.
  • Scan, index, and electronically store legal records in accordance with document management and retention procedures.
  • Perform document finishing services, including binding, tabbing, laminating, labeling, and packaging.
  • Ensure quality control by reviewing documents for completeness, proper formatting, and production accuracy.
  • Maintain strict confidentiality and security of sensitive, privileged, and law enforcement-related information.
  • Coordinate large-scale copying and document production projects associated with litigation and trial preparation.
  • Track and manage document requests, job queues, and completion timelines.
  • Monitor equipment performance and coordinate service repairs and maintenance with vendors when necessary.
  • Maintain inventory of paper, toner, supplies, and equipment consumables.
  • Assist with records management initiatives, file organization, and document retrieval requests.
  • Support electronic discovery (eDiscovery) and digital document conversion processes as needed.
  • Adhere to all DOJ policies, records management requirements, and information security procedures.
  • Provide exceptional customer service while supporting a fast-paced legal environment with competing priorities.


Required Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in a copy center, records management, administrative support, legal support, or document production environment.
  • Experience operating high-volume copying, scanning, and document production equipment.
  • Strong attention to detail with the ability to produce accurate work under strict deadlines.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive legal or government information.
  • Ability to work independently and collaboratively with attorneys, legal staff, and administrative personnel.
  • Ability to lift and move boxes of paper, records, and document materials up to 30 pounds.


Preferred Qualifications

  • Experience working in a law firm, legal services organization, government agency, court system, or Department of Justice environment.
  • Familiarity with legal terminology, court documents, and litigation support processes.
  • Knowledge of records retention and document management systems.
  • Experience supporting trial preparation and large litigation matters.
  • Previous experience handling classified, sensitive, or confidential government documents.
  • Active Public Trust, DOJ, or other government security clearance preferred or the ability to obtain one.
  • Work is performed in an office and document production environment.
  • Requires prolonged standing, walking, lifting, and operating production equipment.
  • May require occasional overtime to support court deadlines, filings, or trial preparation activities.
  • Must be able to handle high-volume workloads while maintaining accuracy and confidentiality.


In addition, U.S Citizenship is required. Select applicants will be subject to a government security investigation and must meet eligibility requirements for access to classified information and be able to obtain a government-granted security clearance. Individuals may also be subject to a background investigation including, but not limited to criminal history, employment and education verification, drug testing, and creditworthiness.

The compensation range for this position is $30,000 - $60,000. Compensation decisions depend on a wide range of factors, including but not limited to location, skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
