Position Title: Bilingual Receptionist (Spanish)

Location: 367 East St, Tewksbury, MA 01876
Anticipated Start Date: April 2026
Duration: 6 months
Job Type: Contract with possible extension

Pay Rate: $18.89/hr. on W2.
Note: Fluency in English and Spanish with strong verbal and written communication; proficiency in Microsoft Word and Excel; experience in records management, filing, and document scanning/indexing (e.g., Captiva); ability to operate standard office equipment and follow procedures; strong attention to detail; effective interpersonal skills in fast-paced environments; ability to lift up to 35 lbs; and 3 years of office experience or equivalent.

 
Position Overview:
Job Description

We are seeking a Bilingual Receptionist to join our dynamic team. The ideal candidate will have strong experience in front-desk operations, records management, and Microsoft Word and Excel and a proven ability to deliver timely, accurate administrative support while providing professional customer service in English and Spanish.

Responsibilities:

  • Greet and assist office visitors in accordance with established procedures.
  • Answer and route telephone calls, provide routine information on agency services, and redirect as needed.
  • Receive, open, date-stamp, investigate, assign, and distribute incoming mail, messages, and packages.
  • Prepare and mail outgoing correspondence and parcels.
  • Prepare standardized forms, letters, and documents per procedures using Word and Excel.
  • Scan documents into the Captiva system and index by envelope category, document category, and document type.
  • File and retrieve records and materials per a prescribed classification system.
  • Search and retrieve information from computer systems to respond to inquiries or requests.
  • Post information to logs, spreadsheets, records, and systems according to procedures.
  • Operate and, when required, instruct others on office equipment such as copiers, postage meters, fax machines, printers, mail openers, telephones, and TTY equipment.
  • Review forms, applications, and correspondence for accuracy and completeness.
  • Provide information on meetings, schedules, appointments, and cancellations in writing or verbally.
  • Submit requisitions and maintain supply standards and inventory.
  • Compile data for office and agency reports and provide intra- and inter-office communications via email.
  • Perform computer functions to create letters, emails, spreadsheets, charts, lists, and memoranda.
  • Maintain and update daily activity logs to support workflow control and task tracking.
  • Assist with production schedules, performance standards, quality controls, methods, and procedures for clerical operations.
  • Coordinate leave, breaks, lunches, coverage times, and duty hours to ensure proper coverage.
  • Work collaboratively in a team setting with shared ownership of assigned tasks.
  • Perform other related duties as assigned.

Required Skills & Qualifications:

  • Fluency in English and Spanish with clear verbal and written communication.
  • Proficiency with Microsoft Word and Excel; ability to create and update documents and spreadsheets.
  • Experience with records management, filing systems, and document scanning/indexing (e.g., Captiva).
  • Ability to operate standard office equipment and follow established procedures.
  • Strong attention to detail and accuracy with names, numbers, codes, and symbols.
  • Effective interpersonal skills and the ability to handle a fast-paced, front-facing environment with tact.
  • Ability to lift at least 35 pounds as needed.
  • Experience level: 3 years of office work or an equivalent combination per substitutions below.

Preferred Skills:

  • Prior experience as an administrative assistant or receptionist.
  • Familiarity with agency forms, telephone procedures, and internal communication protocols.
