Financial Planning Firm is seeking a Client Service Representative to support our advisors, paraplanners, and clients with exceptional care and attention to detail.
The ideal candidate will be organized, proactive, and comfortable managing multiple responsibilities in a fast-paced, client-centered environment. This role is critical in ensuring smooth operations, accurate processing, and consistently excellent client experience.
Key Responsibilities
- Serve as the first point of contact for clients—support/service calls, address questions, and ensure every client receives prompt, professional assistance.
- Lead and coordinate ongoing client requests, such as address changes, banking updates, beneficiary revisions, and other account maintenance needs—ensuring every update is processed accurately, documented properly, and confirmed to completion.
- Take ownership of client paperwork and transactions, including preparing, submitting, and tracking applications, transfers, distributions, contributions, RMDs, and QCDs from start to finish.
- Collaborate closely with the team to prepare meeting folders, financial materials, and ensure seamless client meetings.
- Maintain client records and activity in the firm’s CRM system, keeping the team informed of household updates and next steps.
- Monitor and manage client account activity, including new contributions, withdrawals, or changes by preparing and tracking all related paperwork from start to finish, ensuring each step is processed accurately and on time.
- Identify and recommend process improvements to enhance client satisfaction and team efficiency.
- Uphold confidentiality and accuracy in all client communications and documentation.
- Contribute to a positive, team-oriented environment with a strong commitment to client care.
Skills & Qualifications
- Strong client communication and interpersonal skills—comfortable engaging with clients both in person and over the phone.
- Excellent organizational, multitasking, and time-management abilities.
- Professionalism and composure when handling sensitive or confidential information.
- Ability to prioritize tasks and adapt quickly in a fast-paced environment.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with CRM and portfolio management systems (Redtail, Orion, or similar preferred).
- Demonstrated attention to detail and accuracy in all documentation.
- Proven ability to work both independently and collaboratively within a team.
- Prior financial services, banking, or wealth management experience preferred.
