The Administrative Support Specialist provides comprehensive administrative assistance to the area manager and supports the overall operations of the branch. The ideal candidate will have excellent organizational skills, a proactive approach to problem-solving, and the ability to manage multiple tasks efficiently using Microsoft Office products and other applications used in branch operations. The ideal candidate has a strong work ethic, is self-motivated and has high attention to detail to provide reporting and other solutions to a busy branch operation.


The Administrative Support Specialist reports to the Area Manager but also works collaboratively with other team members in the branch including Business Development Managers, Workers’ Compensation Specialists, Business Partners, Human Resources and Risk Consultants and Payroll Specialists.


DUTIES and RESPONSIBILITIES:


Administrative Support - Manage calendars and schedule meetings for the branch manager and team including logistics for client and referral partner meetings, Local Owner Roundtable events, Lunch and Learn sessions and branch meetings.


Office Management - Oversee office management tasks to maintain a well-organized and efficient work environment including assuring that office supplies and hospitality products are stocked, clean and available. Manage vendor relationships related to beverage and snack services, lunch orders for meetings and equipment related to branch operations.

Data Entry – Complete data entry tasks accurately and promptly, ensuring information is readily accessible and up to date. Support Key Performance Indicator (KPI) tracking in Teams and Saleforce with communication to business unit members and Business Development Managers.


File Management - Organize and maintain both physical and digital branch files, implementing an efficient filing system for easy access to important documents.


Report and Presentation Preparation - Assist in preparing reports, presentations, and other materials as required, ensuring a professional and polished output.


Support to Area Manager - Provide administrative support to the area manager with various tasks as needed, contributing to the effective management of the branch.


Sales Team Support - Contribute to the smooth operation of our Business Development Managers by assisting with special projects, preparing and maintaining project plans, and supporting our sales force in achieving their objectives.



QUALIFICATIONS:


  • Associate's degree or higher.
  • Proven experience in an administrative role, preferably in an office environment.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Salesforce.
  • Excellent written and verbal communication skills.
  • Attention to detail and a commitment to maintaining high-quality standards.
  • Ability to work collaboratively in a team environment as well as independently.

Salary : $29 - $35
