We are seeking a highly motivated, disciplined, and organized Assistant Office Manager to support daily office operations and ensure efficiency within our growing bookkeeping and accounting firm. The ideal candidate is proactive, dependable, and capable of enforcing office procedures, managing workflow, and assisting in daily operational tasks.
Key Responsibilities
- Open and close the office daily, ensuring readiness for business operations.
- Enforce and maintain established office procedures, policies, and workflows.
- Manage daily and weekly task lists, priorities, and deadlines.
- Maintain accurate and organized digital and physical client files.
- Respond promptly and professionally to phone calls, emails, and client inquiries.
- Assist with payroll processing and bookkeeping responsibilities as assigned.
- Utilize QuickBooks Desktop and QuickBooks Online for accounting-related tasks.
- Work daily within ClickUp to manage, track, and complete administrative tasks.
- Scan, upload, and file client documents, ensuring data integrity and confidentiality.
- Prepare and organize financial reports, spreadsheets, and internal tracking tools.
- Assist with the client intake and onboarding process.
- Maintain a clean, professional, and efficient office environment.
- Provide administrative support during tax season, including document preparation and client coordination.
Qualifications
Experience with QuickBooks Online & Desktop required; bilingual preferred; strong detail orientation; time management; communication skills; Excel & ClickUp proficiency.
Work Hours
20–30 hours per week, with higher volume during tax season.
Compensation
Competitive hourly wage based on experience.
