POSITION: Administrative Assistant
DEPARTMENT: Office/Administration
FLSA STATUS: Hourly
REPORTS TO: Director of Human Resources, supervised by Operations Manager
TRAVEL: 5%
Objective
This role provides local HR assistance and serves as key support for BBS Automation Atlanta Corp's daily office operations, running effectively and efficiently. In addition, the role is responsible for essential administrative and clerical support for all North America’s sites.
Key Responsibilities
Office Management: Answers phones, manages mail and all incoming correspondence, scans documents, orders supplies, maintains filing systems, creates forms, memos, and letters. Serves as a facilities back-up. Coordinates visitors, tracks arrivals and departures.
Travel Management: Coordinates travel arrangements for employees; negotiates rates with travel partners. Reviews and approves expense reports as first signature. Conducts periodic audits of travel costs and suggests modifications as needed.
Department Support: Supports managers with scheduling, meeting coordination, and general administrative duties. Orders business meals. Coordinates signing and filing of NDAs and customer agreements.
Administrative HR Support: Updates continuous logs; makes sure labor posters are up-to-date, coordinates employee events, etc. Assists with recruitment and onboarding, coordinates interviews. May assist with employee training, printing materials and brochures. Coordinates internal announcements.
Reporting & Data: Transforms raw data into reports and charts using Excel and other Microsoft Office applications, creates surveys, presentations and flyers.
Vendor/Contractor Management: coordinates services and verifies invoices for accuracy.
Safety: Assists with posting OSHA logs; ensures safety inspection logs are completed and filed/stored accurately and timely. Serves as a member of the Safety Committee.
Special Projects: Ad-hoc projects may be assigned based on business needs.
Other duties as assigned.
Education and Experience
- High school diploma or equivalent experience. 3-5 years of administrative experience (manufacturing industry strongly preferred).
- High proficiency with Excel (formulas, data merge, data analysis: pivot tables, conditional formatting; data sorting/filtering; data protection) is required.
- High level of proficiency with Microsoft Office Suite and communication platforms (ex: Teams).
- ERP experience is strongly preferred.
- Travel portal experience is strongly preferred.
- Self-starter who can identify problems, outline solutions, and drive execution.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Strong planning, organizational and facilitation skills with exceptional attention to detail.
- Ability to communicate effectively with tact, respect and professionalism within all levels of the organization and external parties.
- A high level of capability of web-based talent sourcing using an array of tools.
- Ability to adhere to strict confidentiality standards.
Physical Demands & Requirements
- The employee is subject to a typical office environment with occasional exposure to high noise levels and/or physical hazards when visiting manufacturing floor.
- The employee may be occasionally required to stand, walk, push, pull, reach overhead, and bend to the floor.
- Exert up to 20 pounds of force occasionally, and/or exert up to 10 pounds of force frequently.
- Must have fine motor skills for computer/phone use.
- Stamina for sitting for long periods of time.
- Visual Acuity: must be able to read written instructions and computer screens.
- Hearing Ability: understanding verbal instructions and ability to hear on the phone.
