Purpose:
BayWa r.e. Americas is seeking an Office Administrator to join our team.
The Office Administrator provides essential administrative and operational support to ensure the efficient functioning of the Carlsbad office. This role is responsible for maintaining an organized and professional office environment and supporting day-to-day administrative needs. The Office Administrator serves as a reliable point of coordination for office operations and works closely with leadership to ensure administrative processes run smoothly.
This position reports directly to the Chief of Staff with a dotted-line reporting relationship to the Executive Administrator. Success in this position requires exceptional organizational skills, sound judgment, discretion, and the ability to adapt to changing business needs.
Responsibilities we will trust you with:
Mail and Document Management
- Receive, open, sort, and distribute incoming mail and packages, including confidential and sensitive correspondence.
- Scan, file, and route documents to appropriate team members as needed.
- Track and organize important correspondence and records.
Office Operations
- Maintain an orderly, organized, and professional office environment.
- Monitor and replenish office supplies and coordinate supply orders as needed.
- Ensure common areas, conference rooms, and workspaces remain presentable and functional.
- Coordinate with building management, vendors, and service providers for routine office needs.
Administrative Support
- Assist with filing, document management, and recordkeeping.
- Support administrative projects and special assignments.
- Provide general office support for staff and leadership as needed.
Confidentiality and Compliance
- Handle sensitive information with professionalism and discretion.
- Follow established protocols for managing confidential records and communications.
- Maintain compliance with organizational policies regarding document retention and information security.
Your areas of knowledge and expertise:
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Proficiency with standard office equipment and basic computer applications.
- Strong written and verbal communication skills.
- Ability to work independently and manage priorities with minimal supervision.
- Experience: Minimum of 2 years of administrative, clerical, receptionist, or office support experience, or a similar role.

- Total compensation package dependent upon a number of factors, including candidate’s professional experience, candidate’s skills, position’s seniority level, department’s hiring budget, and position’s location.
- The salary range for this role is $17.00 to $21.00 per hour
- 401(k) retirement plan with 5% employer matching.

Working Schedule: Tuesday through Thursday, 3 hours per day (approximately 9 hours per week).

Salary : $17 - $21
