Compliance Operations Specialist
W2 Contract-to-Hire
Pay Rate: $45 - $65 per hour
Location: Redwood City, CA - Remote Role
Job Summary:
The Compliance Operations Specialist will provide project-based support to advance our healthcare compliance program. This role will help build and maintain core compliance infrastructure, enhance internal systems and workflows, and develop practical, well-governed approaches for organizing and sharing compliance information.
Duties and Responsibilities:
- Support the development, implementation, and maintenance of scalable compliance processes, tools, and operational infrastructure.
- Provide project and overflow support across priority Compliance initiatives, including process documentation, controls, trackers, templates, and implementation plans.
- Identify opportunities to simplify, standardize, and improve compliance workflows while maintaining appropriate governance and documentation.
- Assist with project planning, status tracking, issue identification, and follow-through on key deliverables.
- Support the design, build-out, and ongoing administration of the internal compliance website and related document-sharing workflows.
- Organize policies, procedures, guidance, forms, training materials, frequently asked questions, and other resources into a clear and intuitive information architecture.
- Establish practical content-management standards, including ownership, version control, review cycles, archival practices, and access permissions.
- Coordinate with Compliance, Legal, Information Technology, and business stakeholders to ensure published materials are accurate, current, searchable, and user-friendly.
- Monitor site content and usage and recommend improvements that increase employee awareness, adoption, and self-service access to compliance resources.
- Document current-state and future-state compliance processes using process maps, standard operating procedures, job aids, and responsibility matrices.
- Help translate compliance requirements into practical business workflows, decision points, approvals, documentation requirements, and control activities.
- Support the design and maintenance of operational controls, evidence repositories, review checklists, and records-retention practices.
- Assist with identifying process gaps, duplicative steps, unclear ownership, and opportunities for automation or improved system enablement.
- Support the organization, review, publication, and maintenance of compliance policies, procedures, standards, and supporting materials.
- Maintain document inventories, review schedules, approval records, version histories, and other governance documentation.
- Help ensure consistency in document structure, naming conventions, metadata, formatting, and storage locations.
- Coordinate periodic content reviews with document owners and track revisions through approval and publication.
- Partner with Compliance, Legal, Medical Affairs, Clinical Development, Commercial, Finance, Procurement, Information Technology, and other functions on assigned projects.
- Gather business requirements, facilitate working sessions, document decisions, and coordinate action items across stakeholders.
- Support change-management and communication activities related to new or updated compliance processes, tools, and resources.
- Prepare concise project updates, operational metrics, and management-ready materials as needed.
- Contribute to a culture of continuous improvement, accountability, and ethical business conduct.
Requirements and Qualifications:
- Bachelor's degree required; advanced degree or relevant professional certification preferred.
- 5 years of experience in healthcare compliance, compliance operations, ethics and compliance, legal operations, quality systems, or a related pharmaceutical or biotechnology function.
- Demonstrated experience building or improving compliance workflows, operational controls, process documentation, and governance practices.
- Experience organizing and administering internal websites, SharePoint sites, knowledge repositories, or document-management platforms strongly preferred.
- Experience supporting cross-functional projects in a regulated life sciences environment.
- Prior experience working independently in a project-based, consulting, contract, or part-time capacity is preferred.
- Strong understanding of compliance operations, documentation governance, records management, and operational control design.
- Excellent process-mapping, workflow-design, project-management, and organizational skills.
- Ability to translate complex compliance requirements into clear, practical, and scalable processes and employee-facing resources.
- Strong writing and editing skills, with close attention to accuracy, structure, consistency, and usability.
- Proficiency with Microsoft 365 tools; experience with SharePoint, workflow platforms, and collaboration tools is strongly preferred.
- Sound judgment, discretion, and the ability to manage confidential and sensitive information.
- Ability to work independently, manage multiple priorities, and deliver high-quality work with limited supervision.
- Strong interpersonal and stakeholder-management skills, with a collaborative and service-oriented approach.
