What We are Looking For

The Assistant Director of Stewardship Recognition is responsible for the strategic coordination, execution, and ongoing management of physical donor recognition across Baylor University. This role ensures donor recognition is implemented in alignment with institutional standards, donor intent, and gift agreements, while proactively managing processes, timelines, and cross-campus partnerships. This position requires a high level of autonomy and judgment, serving as the primary point of coordination for physical recognition efforts and contributing to broader stewardship initiatives, including naming opportunities and recognition strategy for capital projects.

A bachelor's degree and two years of relevant experience are required. Five years of relevant experience is preferred.

A hybrid work arrangement will be considered on a case-by-case basis.

This role is based in Waco, TX.

Must be able to travel outside of the state of Texas.

Applicants must be authorized to work full-time in the United States.

What You Will Do

  • Lead the end-to-end process for physical donor recognition installations (plaques, signage, named spaces, etc.)
  • Ensure all recognition aligns with donor intent, gift agreements, and institutional standards
  • Independently manage timelines, approvals, and production schedules across multiple concurrent projects
  • Serve as the central point of coordination between Advancement, Facilities, vendors, and campus partners
  • Proactively identify and resolve issues related to recognition execution
  • Develop and maintain a comprehensive inventory of all physical donor recognitions across campus
  • Establish and oversee processes for ongoing maintenance, repair, and replacement of recognitions
  • Partner with Facilities, Planning & Construction, and campus stakeholders to monitor changes impacting donor recognition
  • Conduct periodic audits to ensure accuracy, condition, and compliance with donor agreements
    Recommend process improvements to ensure long-term sustainability and consistency
  • Collaborate with Stewardship leadership and Development teams to support naming opportunities tied to capital campaigns and major projects
  • Assist in developing recognition plans, materials, and implementation strategies for new facilities and renovations
  • Provide input on recognition scope, placement, and donor experience considerations
  • Help ensure alignment between campaign strategy, donor expectations, and physical recognition execution
  • Partner with Development Officers, Schools/Colleges, and campus units to execute donor recognition plans
  • Serve as a key liaison between internal stakeholders and external vendors
  • Communicate clearly and proactively regarding timelines, expectations, and project status
  • Provide guidance and subject matter expertise on recognition processes and best practices
  • Contribute to the development of recognition societies and broader stewardship initiatives
  • Identify opportunities to enhance efficiency, consistency, and quality of stewardship processes
  • Assist with reporting, tracking, and documentation to support stewardship outcomes
  • Support additional stewardship projects as assigned, particularly those requiring strong project management and coordination
  • Perform all other duties as assigned to support Baylor’s mission
  • Ability to comply with University policies
  • Maintain regular and punctual attendance
