Closing Coordinator & Signing Agent

About the Role
We are seeking an experienced, highly organized, and detail-oriented Closing Coordinator & Signing Agent to join our team. This position combines remote closing coordination with in-person signing appointments throughout South Florida.
The ideal candidate is a currently commissioned Florida Notary Public with prior professional signing experience who is comfortable managing closing documents, coordinating multiple parties, traveling to signing appointments, and providing a professional and pleasant client experience.
This is a hands-on role for someone who takes ownership, communicates exceptionally well, and understands the importance of accuracy and deadlines in the closing process.
Key Responsibilities
- Coordinate closing and signing appointments from scheduling through completion.
- Communicate professionally with borrowers, clients, lenders, title companies, attorneys, real estate professionals, and other parties involved in the transaction.
- Schedule, confirm, and coordinate signing appointments and logistics.
- Travel to signing locations throughout South Florida as required.
- Conduct and oversee document signings in accordance with provided instructions.
- Carefully review closing documents to ensure all required signatures, initials, dates, and other information are completed correctly.
- Follow lender, title company, attorney, and closing instructions precisely.
- Identify missing information or discrepancies and promptly communicate issues to the appropriate party.
- Coordinate the secure return and delivery of completed documents within required deadlines.
- Track transaction status, appointments, documents, and outstanding items.
- Maintain accurate records and provide timely updates to the team.
- Handle sensitive financial and personal information with professionalism and confidentiality.
- Work independently and effectively in a remote environment while maintaining strong communication with the team.
- Provide a courteous, professional, and reassuring experience to clients throughout the signing process.
Required Qualifications
- Current, active Florida Notary Public commission — REQUIRED.
- Prior experience as a Notary Signing Agent, Loan Signing Agent, Closing Agent, Closing Coordinator, or in a similar closing-related role — REQUIRED.
- Demonstrated experience handling real estate, mortgage, title, escrow, or closing documents.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple transactions, appointments, and deadlines simultaneously.
- Ability to work independently and remain highly responsive while working remotely.
- Professional, pleasant, and confident demeanor when interacting with clients.
- Reliable transportation and ability to travel for signing appointments.
- Valid driver's license and ability to travel throughout the assigned service area.
- Reliable computer, high-speed internet, smartphone, and access to email and online document platforms.
- Ability to maintain strict confidentiality when handling sensitive client and financial information.
Preferred Qualifications
- Loan Signing Agent certification.
- Experience working directly with title companies, lenders, escrow companies, or real estate attorneys.
- Familiarity with mortgage and real estate closing packages.
- Experience with electronic document management, scheduling, CRM, and closing platforms.
- Strong knowledge of standard notarial procedures and Florida notary requirements.

Work Environment
