General Summary:
Provide support services to physicians, non-physician providers and Practice Manager. Perform duties including procedure scheduling, registration, appointment scheduling, authorizations, administrative medical assistant duties, front office support (i.e. check-in, check-out, medical records), and other duties necessary for the efficient day-to-day operation of an outpatient physician office practice. Act as a training/professional development resource for other medical assistants and front office assistants.

Responsibilities:
- Surgery scheduling for providers a) Meet with patients; schedule pre-op and post-op appointments. b) Schedule cases and equipment with OR/Interventional Lab/Endo Suite; order special equipment from purchasing; notify equipment reps of cases and equipment needed. c) Schedule cases per each provider's preference; making sure all authorizations are requested, received and provided to the hospital; schedule add-on cases as needed when providers are on call. d) Provide appropriate procedure and diagnosis codes for surgery schedulers at BHKC or BHSC. e) Maintains a system to ensure that all post-surgery patients are seen in a timely manner.
- Provides administrative support for physician(s) and practice manager. a) Maintains physician’s daily/weekly schedule in Outlook Calendar and Epic for office hours, meetings and surgical procedures. b) Monitors Epic in basket messages and e-mail daily to revise physician schedules and enter upcoming procedures/appointments. c) Communicates surgical schedule changes to Office Supervisor and/or Practice Manager, follows established guidelines to carry out requested changes. Opens and distributes physician mail and/or faxes. Responds to medical records requests and routine correspondence following established procedures not requiring physician review. d) Complete insurance and disability forms and verify treatment with provider as requested.
- Registration and scheduling duties a) Handle incoming phone calls, faxes, electronic messages or other requests for patient appointments. b) Pre-register patients, obtaining all required demographics and insurance information. c) Schedule appointments with appropriate providers according to established guidelines and physician preferences. d) Obtain authorizations and/or referrals for office consultations and follow up visits as required by insurance payers. e) Obtain necessary medical records and imaging reports; scan into medical record. f) Maintain patient medical records, treating records as legal documents requiring proper documentation and strict confidentiality g) Maintain efficient filing/scanning process for all medical records. h) Maintain files in a manner that complies with business, medical, and Joint Commission licenses/registrations.
- Provide front-office administrative support and/or medical assistant support as needed to maintain the efficient day-to-day operation of the physician office.
- All other duties as assigned within the scope and range of job responsibilities
- Education: High School Diploma or GED ;
- Credential(s):
- Experience: Required: 3 years of experience with surgical/procedure scheduling. 3 years of Medical Office Assistant experience
- including patient scheduling, medical billing and reimbursement. 3 years of medical administrative assistant experience
- including maintenance of EMR, provider schedules, and compliance documentation. Customer Service experience. Preferred: 5 years clerical experience in a medical office setting
- including experience with health insurance protocol and ICD-10 coding. 5 years of experience with surgical/procedure scheduling. 5 years of Medical Office Assistant experience
- including patient scheduling, medical billing and reimbursement. 5 years of medical administrative assistant experience
- including maintenance of EMR, provider schedules, and compliant documentation.
- Education: Associate Degree Associate Degree Secretarial Science Office Technology
