Position Summary
The Director of Operations oversees the daily operations, staffing, financial performance, and facility management of an independent hyperbaric oxygen therapy clinic. This role ensures the clinic runs efficiently, safely, and in full compliance with California healthcare, labor, and privacy regulations. The Director of Operations provides leadership to employees, supports a positive patient and provider experience, and partners with clinical and administrative leaders to drive operational excellence and sustainable growth.
Key Responsibilities
Operational Leadership & Strategy
Oversee day‑to‑day clinic operations to ensure smooth, efficient, and patient‑centered workflows.
Develop, implement, and refine operational policies, SOPs, and performance standards.
Monitor operational metrics and identify opportunities for improvement in efficiency, patient flow, and service delivery.
Lead strategic planning initiatives in collaboration with ownership and clinical leadership.
Employee Management & Leadership
Provide direct supervision, coaching, and support to administrative and clinical staff.
Oversee hiring, onboarding, training, and performance management in partnership with HR resources.
Foster a positive, accountable, and collaborative workplace culture.
Conduct regular staff meetings, check‑ins, and performance evaluations.
Ensure compliance with California labor laws, including scheduling, breaks, overtime, and documentation.
Facility Oversight & Safety
Maintain a safe, clean, and compliant medical facility aligned with OSHA, HIPAA, and California healthcare regulations.
Oversee equipment maintenance, vendor relationships, and facility repairs in partnership with the safety director.
Ensure readiness of treatment rooms, patient areas, and administrative spaces.
Manage safety protocols, emergency preparedness, and incident reporting.
Financial & Business Operations
Oversee budgeting, forecasting, and financial planning in collaboration with ownership and accounting partners.
Monitor revenue, expenses, and operational KPIs to ensure financial health.
Support billing, claims, and reimbursement processes by coordinating with billing teams.
Review financial reports, identify trends, and recommend cost‑effective solutions.
Manage vendor contracts, purchasing, and inventory control.
Patient Experience & Quality Assurance
Ensure high‑quality patient service and satisfaction across all touchpoints.
Address escalated patient concerns professionally and promptly.
Support quality improvement initiatives and compliance audits.
Maintain accurate documentation and uphold privacy standards.
Regulatory Compliance
Ensure adherence to all federal, state, and local regulations, including HIPAA, OSHA, and California Department of Public Health requirements.
Maintain operational documentation, incident logs, and compliance records.
Coordinate with external auditors, inspectors, and regulatory agencies as needed.
Qualifications
Required
Bachelor’s degree in healthcare administration, business administration, operations management, or closely related field.
5 years of operations leadership experience in a medical, clinical, or healthcare environment.
Familiarity with insurance reimbursement, pricing, and healthcare financial reporting.
Demonstrated experience managing teams and improving operational performance.
Experience with CRM platforms, EHR systems, and healthcare workflow optimization.
Excellent communication, problem‑solving, and organizational skills.
Strong knowledge of California labor laws and healthcare compliance requirements.
Preferred
Experience in functional medicine.
Experience in a multi‑site medical practice.
Work Environment & Physical Requirements
On‑site role in a clinical environment.
Requires walking, standing, and occasional lifting of up to 40 lbs.
Requires moving gurneys and shifting heavy equipment.
Must be able to respond to operational needs quickly and effectively.
Salary : $125,000 - $175,000
