Job Summary:
The Timesheet Analyst is responsible for maintaining accurate employee timesheets and ensuring compliance with organizational timekeeping, scheduling, and payroll policies. This role supports payroll accuracy through daily reviews, exception management, training, and collaboration with managers and payroll, while proactively identifying compliance risks and escalating issues appropriately.

Supervisory Responsibilities: None
Key Responsibilities
- Maintain accurate and up-to-date employee timesheets
- Review timesheets daily to identify errors, exceptions, and missing information
- Manage location adjustments for employees who work across multiple locations
- Utilize the Period Review tool to identify and resolve timesheet exceptions
- Monitor unapproved Time Away From Work (TAFW) requests and follow up with managers for timely approval
- Partner with Payroll to review, approve, or deny TAFW requests on payroll commit days
- Follow up with managers regarding missing punches and unresolved timesheet issues
- Identify and delete duplicate shifts on timesheets and provide corrective feedback
- Process retroactive timesheet adjustments, including corrections and calculations
- Provide ad hoc timesheet and timekeeping training for managers and employees
- Ensure managers are properly approving early clock-ins and late clock-outs in accordance with policy (if Pay to Punch is in effect, will be removed)
- Review and verify hours worked on holidays
Compliance & Policy Enforcement
- Adhere to and enforce organizational timekeeping, scheduling, payroll, and labor compliance policies
- Audit shift lengths to ensure alignment with approved schedules and policy limits
- Review hours worked on holidays by salaried employees at their primary work assignments for accuracy and compliance
- Monitor and address instances of employees working without an approved schedule
- Verify all overtime is pre-approved in accordance with policy, including required Vice President approval
- Monitor appropriate use of relief staffing versus overtime and flag improper usage
- Ensure employees are clocking in and out themselves and that managers are not entering punches unless permitted by policy
- Confirm managers are reviewing and approving timesheets accurately and within required timelines
- Monitor and correct for employees taking PTO and also working a Secondary Work Assignment
Risk Management & Escalation
- Identify recurring timesheet, scheduling, or approval issues that pose payroll, compliance, or labor risk
- Escalate unresolved timesheet discrepancies, policy violations, or approval delays to management, HR, Payroll, or leadership as appropriate
- Document compliance concerns, corrective actions, and follow-up communications for audit and reporting purposes
- Partner with HR and Payroll to support investigations, audits, and corrective action plans
- Proactively communicate trends or systemic issues to leadership with recommended solutions
Qualifications & Skills
- Strong attention to detail with a high degree of accuracy
- Experience with timekeeping, payroll, or workforce management systems preferred
- Working knowledge of timekeeping, attendance, and labor compliance policies
- Strong communication and follow-up skills when working with managers and employees
- Ability to meet strict deadlines
- Comfortable delivering training and guidance to managers and staff
- Strong ability to generate reports, interpret trends, and translate insights into actionable recommendations
Working Relationships
- Works closely with managers to resolve timesheet issues and ensure compliance
- Partners with Payroll to support accurate and timely payroll processing
- Collaborates with HR and Finance on compliance matters, audits, and employee relations concerns
- Serves as a subject-matter resource for timekeeping and attendance practices
