Office Coordinator/Adoption Counselor

Duties:

This position includes but is not limited to:

  • Excellent customer service skills with the ability to communicate effectively
  • Greet visitors, answer phone calls, and respond to inquiries in a professional manner
  • Provide administrative support to staff and management team
  • Perform general clerical duties such as accurate data entry, scanning, copying and faxing
  • Adoption counseling and client education; adoption follow-ups
  • Schedules vaccine; spay/neuter appointments; adoption meet and greets; confirms appointments, and collects deposits
  • Prepares paperwork for vaccines and surgery days, prints medical records, release forms and post-op instructions as needed
  • Prepares adoption packets
  • Performs computer scheduling and accurate data entry into spreadsheets and software programs
  • Manages/tracks community pet pantry data, organizing donations and providing pet food/supplies to community members
  • Reviews all adoption applications, verifies and clarifies information; responds to owner surrender requests
  • Assists walk-ins, assisting with adoption applications as needed and time allows
  • Launder and dry towels and blankets
  • Cleans the office building daily to control the spread of disease, and keeps the office building organized and tour-ready
  • Collects payments and prepares bank deposits
  • Transport animals to appointments if needed
  • Create biographies for shelter pets, and ensures pet photos/information/data is up to date in PetFinder and Petstablished
  • Accepts donations, and provides donation receipts
  • Manages volunteers
  • Assists with organizing fundraisers and collecting payments for silent auction items
  • Manage and maintain office supplies and equipment inventory
  • Occasionally assists with simple website edits
  • Cross trains for other positions
  • Perform all other duties as assigned

Skills:

  • Strong administrative skills with attention to detail
  • Proficient in file management and organization
  • Experience with spreadsheets, data collection and appointment scheduling
  • Strong knowledge of clerical procedures and office management systems
  • Previous experience as a veterinary or animal care receptionist is preferred
  • Basic knowledge of cat/dog body language, vaccinations, spay/neuter and heartworm prevention is preferred
  • Ability to prioritize and work independently on assigned tasks, as well as to accept direction on given assignments. Understand and carry out oral and written direction
  • Ability to easily learn and utilize multiple software programs
  • Intermediate to advanced computer knowledge and data entry skills
  • Ability to perform moderately heavy physical labor
  • Ability to communicate calmly, respectfully and effectively with the general public
  • Creativity, social media and marketing skills preferred; Additional ability to photograph adoptable pets helpful

  • Frequently required to bend, stand, stoop, walk, sit, lift, communicate, and listen
  • Frequently use hands to manipulate, handle, or feel; will reach with hands and arms
  • Frequently up and down on your feet
  • Frequently lift and/or move up to 50lbs

Work Environment

While performing the duties of this job, the employee is exposed to hazards associated with dogs and cats of all sizes, breeds and temperaments; exposure to unpleasant odors and noises; exposure to bites, scratches and animal wastes; possible exposure to contagious diseases.

This is a full-time position, to include working weekends and holidays.
