We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role is the first point of contact for visitors and callers, ensuring smooth daily operations and providing exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to manage front desk responsibilities, administrative tasks, and office management duties. Duties

  • Greet visitors and clients warmly, creating a welcoming atmosphere
  • Manage multi-line phone systems, directing calls efficiently and professionally
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Maintain organized filing systems, data entry, and document proofreading
  • Support office management tasks such as calendar scheduling, appointment setting, and calendar management
  • Utilize computer skills with Microsoft Office Suite, Google Workspace, and other office software to prepare reports and documents
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Perform clerical duties such as photocopying, faxing, and maintaining office supplies
  • Provide customer support by addressing inquiries promptly and courteously
  • Manage front desk operations with professionalism, including phone etiquette and visitor sign-in procedures

Experience

  • Previous office experience or administrative support roles preferred
  • Strong proficiency in computer literacy, including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
  • Familiarity with multi-line phone systems and front desk operations required
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience in customer service or customer support roles highly desirable
  • Knowledge of clerical tasks such as filing, proofreading, and calendar management essential
  • Personal assistant or medical/dental receptionist experience is advantageous but not mandatory
  • Demonstrated organizational skills with the ability to manage time effectively in a fast-paced environment
