ADMINISTRATRATIVE CLERK CHICAGO, IL


Job Description:

The Administrative Clerk is responsible for supporting warehouse operations by managing documentation, maintaining inventory records, coordinating shipments, and ensuring efficient administrative processes. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced warehouse environment.


Key Responsibilities:

  • Administrative & Documentation:
  • Maintain and organize warehouse records, including shipping and receiving logs, invoices, and inventory reports.
  • Process and track purchase orders, bills of lading, and other shipping documents.
  • Ensure accurate data entry into warehouse management systems (WMS) and other databases.
  • Generate reports related to inventory, shipments, and warehouse performance.
  • Inventory & Logistics Support:
  • Assist with inventory tracking, stock reconciliation, and cycle counting.
  • Coordinate inbound and outbound shipments with carriers, suppliers, and warehouse staff.
  • Verify shipments for accuracy and resolve discrepancies as needed.
  • Communicate with internal teams to ensure smooth order fulfillment and warehouse operations.
  • Customer & Vendor Coordination:
  • Serve as a point of contact for vendors, carriers, and internal departments regarding warehouse-related inquiries.
  • Assist with scheduling deliveries, pickups, and warehouse appointments.
  • Address and resolve any administrative or logistical issues that arise.

Basic Qualifications:

  • High school diploma or equivalent (Associates degree in Business, Logistics, or a related field preferred).
  • 2 years of administrative experience, preferably in a warehouse or logistics environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and warehouse management software.
  • Strong organizational, multitasking, and time management skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Preferred Qualifications:
  • Experience with inventory management systems and order processing software.
  • Knowledge of logistics, shipping, and receiving procedures.
