About the Opportunity
We are opening a new ASAM Level 3.7 and 3.5 residential treatment center in Marshall, Missouri, providing 24-hour medically monitored and clinically managed care to adults recovering from substance use and co-occurring mental health disorders. The Admissions Coordinator serves as a critical member of the multidisciplinary team—responsible for managing all aspects of the client intake and admission process, ensuring that individuals in need of care are connected quickly and compassionately to the appropriate level of treatment. Position Overview
The Admissions Coordinator oversees and facilitates the admission and intake process for clients entering ASAM 3.7 (medically monitored) and 3.5 (clinically managed) levels of care. This includes conducting pre-admission screenings, verifying clinical appropriateness, coordinating with nursing, clinical, and medical staff, ensuring documentation accuracy, and maintaining compliance with Missouri Department of Mental Health (DMH) and ASAM standards. This role requires a balance of clinical understanding, administrative precision, and empathetic communication to support clients and families throughout the admissions process.
Key Responsibilities
- Client Engagement & Intake:
- Serve as the first point of contact for clients, families, and referral partners, providing compassionate and professional communication.
- Conduct pre-admission screenings and collaborate with the Clinical Supervisor or Nursing Director to determine medical and clinical appropriateness for ASAM 3.7 or 3.5 levels of care.
- Gather required demographic, clinical, and insurance information for admission review.
- Coordinate scheduling and communicate expectations to clients and families prior to arrival.
- Support a seamless transition from referral to admission, ensuring all required medical and documentation readiness steps are complete.
- Documentation & Compliance:
- Maintain accurate and complete admission records in accordance with 9 CSR 30-3.140, DMH, and ASAM requirements.
- Ensure completion of all required consent forms, releases of information, and admission paperwork before treatment begins.
- Accurately enter and update data in the Electronic Medical Record (EMR) system.
- Verify and maintain documentation of medical clearances, detox screening forms, and withdrawal assessments as applicable.
- Participate in quality assurance reviews to ensure compliance with regulatory standards.
- Collaboration & Coordination:
- Coordinate closely with clinical, nursing, and administrative teams to prepare for new admissions and ensure safe handoffs.
- Communicate daily with Medical Director, RN/LPN staff, and Clinical Supervisor regarding bed availability, medical clearance, and client readiness.
- Serve as a liaison between external referral sources, hospitals, and crisis centers to expedite timely admissions.
- Work with case management and peer support staff to ensure smooth client orientation and onboarding.
- Program Support & Reporting:
- Track admission metrics, trends, and referral data for performance improvement and census management.
- Assist with marketing and outreach efforts to strengthen referral relationships and promote the program’s services.
- Support leadership during audits, surveys, and compliance reviews related to admissions and intake procedures.
- Uphold confidentiality, ethical standards, and trauma-informed care principles in all interactions.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree in behavioral health, psychology, or related field preferred.
- 1–3 years of experience in admissions, intake coordination, or behavioral healthcare setting required.
- Familiarity with ASAM 3.5 and 3.7 levels of care, detox admissions, and DMH regulations preferred.
- Strong understanding of medical and clinical documentation requirements for higher-acuity treatment settings.
- Excellent communication, organizational, and time management skills.
- Proficiency in EMR systems, Microsoft Office, and secure communication tools.
- Ability to maintain professionalism and empathy while handling sensitive or urgent situations.
- Must pass background check and drug screening per DMH requirements.
Preferred Experience
- Experience working in substance use disorder treatment, detox, or inpatient psychiatric settings.
- Familiarity with insurance verification, pre-authorization, and funding sources for behavioral health services.
- Strong customer service or call center background with an emphasis on de-escalation and trauma-informed communication.
- Understanding of HIPAA, confidentiality, and data privacy regulations.
Schedule
Full-time, on-site position. Flexibility required to support admissions during evenings, weekends, or holidays as needed for 24/7 operations.
