About the Opportunity
We are opening a new residential substance use treatment center in Marshall, Missouri, providing ASAM Level 3.1 services for adults in recovery. The Administrative Assistant will serve as the backbone of the program’s daily operations — ensuring smooth coordination across departments, supporting leadership, and helping the team stay organized and compliant with Missouri Department of Mental Health (DMH) standards.

Position Overview
The Administrative Assistant provides administrative and clerical support to the treatment center’s leadership and clinical teams. Responsibilities include managing front-office operations, maintaining records and correspondence, assisting with scheduling, and supporting compliance and reporting tasks required for licensure and daily operation.
Key Responsibilities
• Administrative & Clerical Support:
• Greet and assist visitors, staff, and clients in a professional and welcoming manner.
• Answer and direct phone calls, take messages, and manage incoming inquiries.
• Prepare correspondence, meeting notes, and documentation as assigned.
• Assist with intake packet preparation, forms management, and filing.
• Maintain confidentiality and professionalism in all communications and documentation.
• Office Coordination:
• Manage supply inventory, vendor communications, and office maintenance requests.
• Support coordination of staff schedules, meetings, and training events.
• Track and organize facility documentation (policies, licenses, certificates, and forms).
• Maintain organized and compliant filing systems for administrative and client records (electronic and paper).
• Ensure all documentation meets DMH and ASAM standards for recordkeeping.
• Compliance & Recordkeeping:
• Assist with data entry and reporting for compliance and performance tracking.
• Support preparation for state licensing reviews and audits.
• Update internal tracking systems, including staff training logs, client files, and admissions documents.
• Maintain accurate rosters, attendance logs, and staff communication lists.
• Team & Communication Support:
• Support onboarding and orientation activities for new staff.
• Serve as a liaison between leadership, staff, and external partners as needed.
• Coordinate communication between departments and maintain calendars for key personnel.
• Assist in organizing events, staff meetings, and community outreach activities.
Qualifications
• High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
• 1–3 years of experience in an administrative, office coordination, or behavioral health support role.
• Strong computer skills, including Microsoft Office Suite and electronic medical record (EMR) systems.
• Excellent written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to handle confidential information with discretion and professionalism.
• Positive attitude, flexibility, and teamwork mindset in a developing organization.
• Must pass background check and drug screening in accordance with DMH requirements.
Preferred Experience
• Prior experience working in a behavioral health, medical, or social services setting.
• Familiarity with DMH or ASAM documentation and compliance requirements.
• Experience supporting leadership teams in scheduling, coordination, and recordkeeping.
Schedule
Full-time, on-site position during regular business hours, with occasional flexibility during start-up or licensing periods.
