Job Summary:

The Revenue Cycle Coordinator supports Basecamp Recovery Center's financial operations by managing billing processes, insurance claim submissions, payment posting, and coordination with our outsourced billing partner. This position ensures accurate and timely revenue cycle management, maintains compliance with payer requirements, and serves as the internal liaison between clinical operations and billing functions.

Core Responsibilities:

Manage insurance claims processing and submission through EZClaims billing software.

Coordinate with an outsourced billing partner to ensure timely claim resolution and revenue collection.

Verify patient insurance benefits, obtain prior authorizations, and communicate coverage information to clinical teams.

Post payments, reconcile accounts, and monitor accounts receivable aging.

Ensure billing compliance with federal, state, and payer regulations including HIPAA requirements.

Generate reports on revenue cycle performance and communicate billing issues to leadership.

Serve as internal point of contact for billing-related questions and payer communications.

Support internal and external audits by maintaining organized billing documentation.

Job Duties:

Process insurance claims through EZClaims billing software for timely submission to payers.

Review claims for accuracy, completeness, and compliance with payer requirements before submission.

Submit electronic and paper claims to insurance companies, Medicare, Medicaid, and commercial payers.

Monitor claim status and follow up on pending, denied, or rejected claims.

Post insurance payments, patient payments, and third-party payments accurately in billing system.

Apply payments and adjustments to patient accounts and reconcile daily payment batches.

Verify patient insurance benefits and coverage prior to admission and throughout treatment.

Obtain prior authorizations and pre-certifications as required by payers.

Track authorization periods and request extensions or renewals when needed.

Communicate coverage information and authorization status to admissions and clinical teams.

Coordinate with outsourced billing partner on complex claims, denials, and escalations.

Research and resolve billing discrepancies, denied claims, and account issues.

Process refunds, credit balances, and payment plan arrangements as needed.

Monitor accounts receivable aging reports and identify collection opportunities.

Maintain current insurance plan information, fee schedules, and payer contract details.

Document billing communications, payer responses, and account notes in billing system.

Ensure patient confidentiality and HIPAA compliance in all billing activities.

Generate reports on claims status, accounts receivable, denials, and revenue metrics.

Support month-end and year-end financial close processes.

Stay current on billing regulations, payer policy changes, and compliance requirements.

Maintain organized billing files and electronic records.

Provide backup support for other finance and administrative functions as needed.

Education and Experience:

Required:

Minimum of 2 years of medical billing experience, preferably in behavioral health or outpatient healthcare setting.

Proficiency with EZClaims billing software required.

Experience with insurance claim submission, payment posting, and denial management.

Working knowledge of CPT, ICD-10, and HCPCS coding.

Experience working remotely with strong self-management and time management skills.

Strong understanding of insurance verification, authorization processes, and payer requirements.

Knowledge of Medicare, Medicaid, and commercial insurance billing practices.

Proficient in Google Workplace(Excel, Word, Outlook).

Intermediate experience with Best Notes(EHR)

Zoom Workplace

Strong attention to detail and accuracy in data entry.

Excellent organizational and time management skills.

Ability to work independently and manage multiple priorities.

Strong communication skills (written and verbal).

Problem-solving skills and ability to research and resolve billing issues.

Understanding of HIPAA privacy and security regulations.

High school diploma or GED required.

Preferred:

Associate's or Bachelor's degree in healthcare administration, business, or related field.

Certified Professional Biller (CPB) or Certified Revenue Cycle Representative (CRCR) credential.

Experience in addiction treatment or behavioral health billing.

Familiarity with Ohio Medicaid billing requirements.

Experience working with outsourced billing companies.

Knowledge of electronic health record (EHR) systems.

Experience with denial management and appeals processes.

Familiarity with MAT (Medication-Assisted Treatment) billing.

Physical Demands:

Physical Requirements:

Ability to sit for extended periods (up to 6-8 hours per day) while working at a computer workstation.

Manual dexterity required for frequent computer keyboard and mouse use.

Visual acuity to review detailed billing documents, claims, and financial records on computer screen.

Ability to occasionally stand, walk, and move around office environment.

Ability to lift and carry up to 10 pounds (files, documents, office supplies).

Ability to reach, grasp, and manipulate objects such as files, paperwork, and office equipment.

Ability to communicate effectively by phone and in person.

Sensory Requirements:

Clear vision (corrected or uncorrected) to read computer screens, documents, and financial reports.

Hearing ability sufficient to communicate by phone and in person.

Ability to concentrate and maintain attention to detail for extended periods.

Work Environment:

Office setting with standard lighting, temperature control, and workspace.

Frequent computer use and sedentary work.

Standard business hours: Monday - Friday, 8:00 AM - 5:00 PM

Occasional overtime during month-end close or high-volume billing periods.

Minimal travel between Basecamp locations if needed.

Low to moderate noise level typical of office environment.
