Overview
We are seeking a dynamic and detail-oriented Accounting and Reception Clerk to join our team! This vital role combines front desk responsibilities with essential accounting tasks, ensuring smooth office operations and exceptional customer support. The ideal candidate will be energetic, highly organized, and possess strong communication skills, with the ability to manage multiple tasks efficiently. Your positive attitude and proactive approach will help create a welcoming environment for clients, visitors, and staff alike while maintaining accurate financial records.

Duties

  • Greet visitors, clients, and vendors warmly at the front desk, providing excellent customer service and professional phone etiquette.
  • Manage multi-line phone systems to handle inquiries promptly and direct calls appropriately.
  • Maintain a clean and organized reception area, ensuring a professional first impression.
  • Perform data entry and bookkeeping using QuickBooks or similar accounting software to process invoices, payments, and expense reports.
  • Handle clerical tasks such as filing, proofreading documents, and managing correspondence efficiently.
  • Support office management by coordinating calendar appointments, scheduling meetings, and managing calendar updates.
  • Assist with basic administrative duties including photocopying, scanning, and maintaining office supplies inventory.
  • Provide customer support through clear communication and timely responses to inquiries via email or phone.
  • Support medical or dental receptionist duties as needed, including patient check-in/out procedures.
  • Contribute to overall office efficiency by managing Google Workspace tools (Docs, Sheets, Calendar) and ensuring data accuracy.

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong typing skills coupled with attention to detail for proofreading documents.
  • Bilingual abilities are highly desirable to assist diverse client needs.
  • Prior experience in customer service or support roles enhances your success in this position.
  • Familiarity with multi-line phone systems and phone etiquette standards is essential.
  • Knowledge of medical or dental receptionist procedures is a plus but not required.
  • Demonstrated ability to manage time efficiently while handling multiple responsibilities simultaneously.
