What are the responsibilities and job description for the Live Events Coordinator position at Barstool Sports?
Barstool Sports is looking for a Live Events Coordinator to provide full administrative and logistical support to the Live Events Department. You’ll help bring our events to life by booking travel, coordinating vendors, assisting with event planning, managing budgets and invoices, maintaining calendars, and overseeing inventory and shipping. On-site, you’ll support setup, guest check-in, vendor management, and breakdown for seamless execution.
This is an entry-level, hybrid position based out of our New York office (4 days in office when not traveling). We want somebody who is willing to learn, absorb everything we have to offer, and own this position.

What You’ll Do
- Assist with administrative tasks associated with the department and individual events
- Book heavy travel for staff and talent
- Assist in planning, organization and preparation of events, ensuring all logistics are in place with vendors, venues and partners
- Assist in the production of digital and print collateral for all events
- Help Events Manager coordinate with vendors, supplies, partners to ensure all event details and logistics are planned and properly secured
- Helping to organize invoices, credit card statements and other budget related items
- Research different vendors as it relates to on-site events including, but not limited to, security, staging, catering and craft services
- Create show books that have detailed information about venue, travel, and on-site resources
- Provide day of event support, including setting up and breaking down event spaces, managing guest flow/check-in, ensuring event logistics and vendors are in place
- Provide general departmental support and assist with day-to-day departmental needs
- Always keep all calendars and reporting documents up to date
- Maintain clear communication with the events team, partners, vendors and stakeholders to ensure all event details are accurate and deadlines are met
- Inventory Management of events supplies
- Oversee shipping and packaging of event supportive supplies
- Must be able to work flexible hours, evenings and weekends based on the event schedule
- Heavy travel required, this job is 100% in New York Office (in office 4 days a week if not traveling)
- Someone with excellent communication skills
- Ability to meet the physical demands of the job (standing for long periods of time, lifting heavy loads of up to 40 pounds etc.)
- Self-motivated, focused, and Goal-oriented
- Adaptable to ongoing and unexpected change; ability to pivot when required
- Desire to learn and willingness to learn
- Excellent knowledge of Google Docs, Google Sheets

Salary : $65,000 - $70,000
