REGIONAL OFFICE ADMINISTRATOR

This is a non-supervisory position. The Regional Office Administrator is accountable for the safety, quality, and efficiency of their work. The Regional Office Administrator reports directly to the Traffic Control Regional Manager.

EDUCATION

Required: High School Diploma or equivalent

Preferred: Bachelor Degree in Business or Management

 

LICENSING / REGISTRATION / CERTIFICATION

Required: Valid Texas issued drivers license in good standing

 

EXPERIENCE

Required: 2 years experience in an administrative role or time as an Office Manager

Preferred: Experience in data entry

  1. Ability to accept direction and feedback from Supervisors and Management Team and follow through appropriately.
  2. Must be a team player
  3. Ability to adjust to changes in work tasks or environment and produce excellent results
  4. Ability to read, understand and carry out written instructions and present questions when instructions are unclear
  5. Ability to read, understand and carry out verbal instructions and present questions when instructions are unclear
  6. Must maintain a positive attitude 
  7. Must be organized and maintain a neat and orderly desk and work area
  8. Excellent data entry skills including accuracy and data entry speed of 50 characters per minute.
  9. Very proficient in Microsoft Office products to include Word, Excel, PowerPoint and Outlook
  10. Able to work unsupervised and take initiative to complete necessary work even when it hasn't been specifically assigned.
  11. Willing to work extended hours, days, and weekends if the mission requires it
  12. Excellent communication skills
  13. Solid understanding of the the written English language by being able to use proper grammar, spelling, and business jargon in office correspondence and business emails
  14. Proven background of excellent customer service and able to positively interact with customers face to face, over the the telephone, and through electronic communication
  15. Experience in the construction industry
  16. Experience in the Traffic Control industry a BIG plus- (Prefer TCT or TCS certification)
  17. Knowledge of safety standards: OSHA, State, and industry standards

 

 

 

 

PHYSICAL

The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job.

BODY POSITIONS: Must have the ability to sit or stand for extended periods of time while performing job functions.

BODY MOVEMENTS: The employee must have a full range of body movements including the use of their hands to fingers, handle equipment and tools. The ability to bend the body, crouch, kneel and crawl to reach for objects is required.

BODY SENSES: The employee must have command of the following senses: sight, hearing, and touch. Specific abilities include: vision must be able to discern colors, as well as depth perception.

STRENGTH: The employee must have the ability to lift 50 pounds with regularity.

 

WORKING CONDITIONS

This position requires the employee to work indoors in a smoke-free non-climate controlled environment, indoors in a climate-controlled environment, as well as outdoors in conditions that may range from hot to cold and rainy at times. Travel to the warehouse, office and jobsites may be in all types of weather conditions including rain, snow and icy conditions.

 

AUTHORITY

The Regional Office Administrator is authorized to take any reasonable action necessary to carry out the responsibilities assigned approved or delegated by the supervising manager. Such authority may include:

Report any abuse of the Companys policies and procedures to Supervisor or other members of Management.

Authority to enforce the Companys Safety Policies.

DUTIES AND RESPONSIBILITIES

The primary functional duties and responsibilities of the Regional Office Administrator includes but not limited to:

  1. Arrive at Office and be prepared to work at the beginning of the shift
  2. Answer all phone calls and greet visitors in a pleasant manner.
  3. Enter all new call logs and tickets as quickly as possible within 24 hours of the request from branch manager, crew chief and/or customer. Send all tickets to Lubbock daily.
  4. Quote sales of inventory items and daily leases.
  5. Understand customer credit and who is required to pay up front vs. those extended net 30 credit.
  6. Coordinate credit card payments with Lubbock office.
  7. Gather, verify and submit daily time logs turned in by the traffic control crews.
  8. Gather and submit Task Hazard Analysis and Truck Inspection forms weekly.
  9. Gather, verify and submit weekly all Accounts Payable and Credit Card receipts.
  10. Coordinate new hire documentation to be submitted to HR Department.
  11. Support and assist the Regional Manager and Crew Chief with administration duties as needed.
  12. Recommend measures to improve efficiency, product quality, and safety
  13. Notify supervisor of any quality or safety related concerns
  14. Demonstrate initiative by evaluating situations, making decisions based on facts and solid judgments
  15. Act in a manner that represents the professional manner reflecting the companys values and principles
  16. Perform duties in an independent manner with little to no supervision
  17. Arrive at meetings on time and prepared to participate
  18. Maintain a cooperative working relationship with employees
  19. Constantly look for and suggest ways to perform duties and responsibilities more effectively, what we call Act Like an Owner.
  20. Perform other duties and tasks as may be assigned by the Regional Manager or Traffic Control Crew Chief.

 

MEASURES OF PERFORMANCE

The Regional Office Administrator shall be deemed to be performing in an acceptable manner when the following have been accomplished:

  1. The Regional Manager is kept informed of daily activity.
  2. Work order initiation are completed in a timely manner.
  3. Work is completed accurately
  4. Attendance and participation at Company Meetings
  5. Other tasks assigned by the Regional Manager or Traffic Control Crew Chief are performed in an accurate, complete, and timely manner
