Job Title: Event Specialist

Position Purpose:
The Events Specialist is responsible for supporting the planning, coordination, and execution of high-impact events that align with organizational goals. This role ensures seamless event logistics, strategic planning, and flawless day-of execution while maintaining budgetary control and delivering exceptional attendee experiences.
Key Areas of Responsibility:
- Event StrategyPlanning
- Collaborate with leadership to define event objectives, themes, and success metrics.
- Develop comprehensive event plans, timelines, and production schedules.
- Incorporate special projects and unique activations (e.g., VIP parties, Opening Night Gala) into overall event strategy.
- Plan on-site special area execution to enhance attendee experience.
- Budget Management
- Prepare and manage event budgets, ensuring cost efficiency and accurate forecasting.
- Track expenses and provide regular financial updates.
- Include gifting programs (holiday gifts, follow-up gifts, Christmas cards) in budget planning.
- VendorVenue Coordination
- Source, negotiate, and manage relationships with venues and vendors.
- Conduct site visits and ensure compliance with event requirements.
- Coordinate specialty vendors for unique elements (e.g., anthem singers, entertainment for VIP events).
- LogisticsProduction
- Oversee all logistical aspects including transportation, accommodations, and technical production.
- Ensure all event materials and resources are prepared and delivered on time.
- Manage gifting logistics and distribution for attendees, VIPs, and partners.
- ExecutionOn-Site Management
- Lead day-of-event operations to guarantee flawless execution.
- Troubleshoot issues promptly and maintain a positive attendee experience.
- Supervise on-site special areas and ensure smooth execution of VIP experiences and gala events.
- Coordinate live performances (e.g., anthem singers) and other scheduled entertainment.
- Post-Event AnalysisReporting
- Conduct post-event evaluations, including attendee feedback and ROI analysis.
- Prepare detailed reports and recommendations for future improvements.
- Assess effectiveness of gifting programs and special activations for future planning.

Education and/or Experience:
- Bachelor's degree in Event Management, Marketing, or related field.
- 3 years of experience in event planning or project management.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and negotiation abilities.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work non-traditional hours, including nights and weekends. Travel required.

Culture
Barrett-Jackson's culture is live and in-person. Team members are in the office 5 days per week, 8am to 5pm at the Scottsdale, AZ headquarters. During live events the company largely travels together to produce and ensure each event is a success. This requires weekend work and long hours.
