Job Overview:
The Material Management Specialist performs procurement activities in a cost-effective manner with a priority emphasis on effective inventory management. They serve as primary contact for vendors regarding vendor performance, issue resolution and standardization. And they are responsible for reporting identified safety issues such as hazardous environments (i.e. damaged floors/walls/ceiling tiles/unsecured areas) and medical errors, etc.
Qualifications:
Required:
- High School Diploma or equivalent
- Three to five years Emergency Services/Materials management experience
- Three to five years purchasing, data collection and reporting experience
Preferred:
- BA/BS degree
Scheduling Requirements:
- 7:00am-3:30pm
- Monday-Friday
- Full Time
Essential Functions:
- Arranges with vendors for the replacement of defective items and/or arranges for credit on returned items. Arranges for repairs of ED instruments and equipment
- Assists with special projects as assigned
- Conducts vendor interviews to audit vendor performance and resolve issues. Arranges technical presentations by vendors for internal personnel when applicable
- Consults with appropriate technical areas of the ED regarding accurate specifications and quantities of procured items. Discusses quality and performance requirements to meet current expectations and provides insight and guidance for future needs
- Contributing member of cost containment and product standardization
- Ensure the timely and economic procurement of all supplies, equipment and services for medical center Emergency services
- Ensures that all ED orders are placed promptly and executes follow-up with vendors when necessary to assure prompt delivery of materials and/or performance of services
- Establishes monitors and adjusts par levels in ED and Express Care areas
- Maintains a professional image during supplier relations and daily business contacts. Searches continually for improved and/or less costly materials and supplies for the ED and collaborates with Materials Management department
- Manages ED inventory levels consistent with accurate usage data and lead times from suppliers
- Provides sourcing support to technical areas for new and existing products
- Reconciles invoices with Accounts Payables when prices or other items do not agree with the purchase order. Ensures compliance with all corporate contracts as applicable
- Reports all system failures to Information Services, Biomed or Maintenance department when applies
- Responsible for budget tracking and management reporting
- Reviews open purchase orders on a weekly basis for overdue shipments and back orders and reconciles discrepancies with the vendor
