Job Overview

We are seeking a highly organized and detail-oriented Administrative professional to join our team. The ideal candidate will possess strong clerical and customer service skills, with the ability to manage multiple tasks efficiently in a fast-paced environment. This role is essential for ensuring smooth office operations and providing exceptional support to both staff and clients.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems, demonstrating excellent phone etiquette.
  • Provide customer support through effective communication and problem-solving skills.
  • Perform data entry tasks with accuracy, maintaining up-to-date records.
  • Assist in office management duties, including filing, organizing documents, and maintaining office supplies.
  • Utilize QuickBooks for bookkeeping tasks as needed.
  • Support calendar management for scheduling appointments and meetings efficiently.
  • Conduct proofreading of documents to ensure clarity and correctness.
  • Utilize Microsoft Office and Google Workspace for various administrative tasks, including typing reports and creating presentations.
  • Maintain confidentiality of sensitive information while managing clerical responsibilities.

Qualifications

  • Proven experience in an administrative role or similar position is preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks is a plus; experience in bookkeeping is beneficial.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Bilingual candidates are encouraged to apply, as this will enhance communication with a diverse clientele.
  • Strong typing skills with attention to detail for accurate data entry and documentation.
  • Previous experience as a dental receptionist or medical receptionist is advantageous but not required.
  • Ability to manage time effectively while handling multiple responsibilities simultaneously.
