Job Description:
Assist with daily operation of maintenance office and provide clerical service to
maintenance supervisor.
Major Responsibilities and Duties:
- Prepare correspondence, memorandums, forms, requisitions, and reports for maintenance office, including monthly reports for work order status.
- Receive and process work orders and emergency request for service.
- Maintain physical and computerized departmental files, including preventive maintenance data, work orders, and warranties on new equipment.
- Compile pertinent data to prepare various required state and local reports.
- Keep up-to-date files for all department employees.
- Obtain pricing and order parts/inventory as needed.
- Enter all stock receipts into the computer and send receiving backup information to the business office for further processing.
- Alert supervisor of low inventory so that orders are placed to prevent repair delays.
- Provide monthly inventory reports to supervisor.
- Receive, document and distribute parts to maintenance staff.
- Update inventory records in computer to track usage and cost per work order.
Phones
- Answer incoming calls, take messages, and route them to appropriate staff. Monitor calls for HVAC problems, order equipment and various supplies.
- Answer incoming calls and handle questions and requests that fall within level of responsibility.
Accounting
- Perform routine bookkeeping tasks, including simple arithmetic operations to maintain department budget records. Input utility bills for tracking purposes.
- Assist with preparation of purchase orders and payment authorizations.
- Compile and report time records, including leave request and reports, and prepare timesheets on employees.
Data Entry
- Input all supplies and equipment purchase information in computer.
- Order office supplies for department.
Start Date: January, 2026
Duty Days: 226
Salary Range: (Based on 2025-26 Salary Schedule)
Minimum: $15.05

*Proficient skills in file maintenance
*Strong organization skills and the ability to follow-through with projects
*Effective organizational, communication and interpersonal skills
*Knowledge of basic accounting principles
*Ability to use personal computer and software that utilizes word processing, spreadsheets and databases
*Three years clerical experience preferred
