What are the responsibilities and job description for the Grant Program Administrator position at Baptist Grove Church?
The Program Administrator coordinates the efficient operation of the Cultivating a Legacy of Living Faith grant program by providing high-level administrative, project, and communications support. The Program Administrator reports to and works alongside the Program Director and is a key member of the grant team. This position demands accuracy, honesty, integrity and the ability to work within the Christian theology, mission, and values of Baptist Grove Church. This is a part-time staff position.
Specific responsibilities of the Program Director will include the following major areas:
Administrative & Logistical Support
- Support the Program Director in the development of agenda and materials for grant team meetings, Advisory Committee meetings, partner meetings, or meetings with other stakeholders
- Manage logistics for grant meetings, gatherings, cohort training/events, focus groups, and other grant-related meetings. This include facilities, travel, catering, technology, and materials
- Attend all grant team meetings, taking detailed notes, tracking action items, and following through on administrative tasks
- Attend Lilly Annual Gathering with Program Director, participate in breakout sessions, capture notes, track contacts, and debrief with Program Director post-event
- Provide clerical support including handling incoming calls, voicemails, and general emails
- Provide other administrative support as requested by the Program Director
Program Support
- Attend focus groups/listening sessions with the Program Director, providing on-site administrative, travel, and logistical support before, during, and after each session.
- Under the direction of the Program Director, facilitate the development or purchase of materials and/or gifts to partner church staff and/or families
- Provide administrative and logistical support for all grant projects (Congregational Recruitment & Assessment, Curriculum Development, and Intergenerational Worship Development)
Communications
- Proofread, edit, and publish the quarterly newsletter to the grant’s blog/website
- Prepare clear and professional correspondence to contracted partners, churches, cohorts, and others as directed
- Provide lite graphic design work to create on-brand, visually appealing communications, presentations, and other materials
- Update the grant website as needed to ensure current and accurate information regarding grant activities, cohort events, congregations, partners, and resources
Data & Reporting
- Work with Program Director and grant team to prepare and submit the annual report
- Provide project management support, tracking team, partner, and church action items/deliverables using SmartSheet or similar software
- Maintain CLLF files, including secure storage (both physical and electronic) of sensitive data such as church, partner, and financial records
- Maintains any CLLF databases (resources, churches, partners, vendors) created and/or associated with CLLF projects
Required Skills and Abilities
- Communicate effectively to all groups through both oral and written channels; demonstrate tact, a positive attitude, courtesy, and discretion in dealing with staff, clergy, partners, contractors, vendors, churches, family participants, and the public.
- Strong skills in meeting/event coordination and administrative assistance in an office setting; some project management experience is desirable
- Knowledge of Google Workspace and/or Microsoft 365 with ability to learn new software are essential; knowledge of Canva and SmartSheet is desirable.
- Maintain strict confidentiality.
- Highly organized and detail-oriented and able to meet strict deadlines; Able to effectively manage time and tasks in a remote environment
- Able to work independently as well as function effectively in a team
- Ability to travel via car or plane, including occasional overnight travel
- This is a predominantly remote position with onsite work as required to support grant activities
Education/Experience:
- Associates required; Bachelors degree desirable
- 5 years of experience (15 in lieu of a degree)
- Experience in grant, nonprofit, ministry or church, specifically children and family ministry, desirable
