Position Title: GraceHaven Pregnancy Resource Clinic Administrative Assistant
Salary Range: $15 – $24/hr
Benefits: PTO
Position Summary: The GraceHaven Pregnancy Resource Clinic Administrative Assistant will work under the supervision of the GraceHaven Pregnancy Resource Clinic Program Manager to provide secretarial services and maintain records essential to the provision of services. The position is expected to be 22.5 hours a week with hours worked to be determined by the Program Manager. Some weeks will exceed the expected hours, depending on other staff availability. Evening and weekend work may be occasionally required. This position is not eligible for benefits.
Position Location: This position is located at GraceHaven Pregnancy Resource Clinic in Mt. Vernon, IL.
Position Accountabilities:
- Maintain a high level of expertise and confidentiality in the practice of secretarial functions.
- Maintain a consistent life-affirming philosophy, which includes never referring or advising a patient to have an abortion. (When a situation arises where a mother’s life is at risk, the clinic advocates taking measures to preserve her life, hoping that the mother and her child can both be saved.)
- Answer phone calls, schedule appointments, greet visitors/patients, and assist patients with paperwork.
- Learn EKyros and become proficient in medical scheduling.
- Be willing to teach a parenting class once a week.
- Conduct research, compile data, and prepare reports for presentation by the GraceHaven Program Manager and Executive Director as requested.
- Open, sort, and distribute incoming correspondence, including faxes and emails.
- Perform general office duties, such as ordering supplies, maintaining records management system, and performing basic bookkeeping duties.
- Set up and retrieve files, records, and reports.
- Requisition, store, and dispense office and medical supplies.
- Organize and stock boutique.
- Organize and stock bi-monthly diaper giveaways.
- Clean bathrooms bi-monthly and dispose of trash as needed.
- Assist with special assignments.
- Provide specialized support services as requested: travel arrangements, arrangements for conferences, tracking of schedules, etc.
Position Qualifications:
- High School degree or GED minimum; Associates degree preferred
- Good interpersonal and communication skills.
- Able to work well independently and as part of a team.
- Proficient in Microsoft Office Applications (Word, Excel, PowerPoint)
- Excellent organizational and time management skills.
- Ability to hold personal client information in the strictest confidentiality.
Salary : $15 - $24
