(BQMI) is seeking a highly organized and detail-oriented Operations Assistant to support the Information Technology Division (ITD) at Naval Surface Warfare Center (NSWC) Crane, Indiana. The selected candidate will provide comprehensive operational, logistical, administrative, and management support across the Code 104 organization.
This role is ideal for a motivated professional with strong administrative, records management, and data management experience—particularly within Department of Defense or U.S. Navy environments.

Key Responsibilities
Operational and Logistical Support
- Provide ITD operational and logistics assistance, including general office management and administrative services across Code 104.
- Coordinate meetings and events; prepare, manage, and distribute presentations, briefing materials, and metrics.
- Manage information distribution and logisticssupport.
- Track assets and maintain accurate inventories of equipment, materials, and office supplies, coordinate replenishment.
- Support personnel move requests by preparing required documentation and monitoring progress.
- Maintain and update assigned email distribution lists and groups.
Correspondence and Document Support
- Develop, deliver, track, and maintain records of correspondence, including memos, letters, announcements, and other communications.
- Prepare and analyze documents such as property passes, visit requests, naval messages, passports, internal memos, and off-station letters.
- Assign and track sequential document numbers using established systems.
- Route formal documents for approval and signature using GEARS.
- Perform document preparation, review, submission, scanning, storage, tracking, and distribution via multiple platforms (paper, email, digital postings).
Documentation and Data Support
- Operate and maintain document and data repositories, including business records, management information, engineering drawings, manuals, and technical documentation.
- Receive and log documents, maintain automated tracking systems, manage sequential numbering, and control document release.
- Maintain records of document holders and manage reproduction, packaging, labeling, shipping, and distribution.
- Perform librarian-style document control and media retention tasks.
ITD Tools and Systems Support
- Provide administrative and operational support for ITD tools and systems.
- Support action tracking tools, calendars, databases, dashboards, and other data management applications.
- Develop and deliver training materials, process documentation, and educational content.
- Provide curriculum and conduct training sessions as required.
Records Management Support
- Serve as the Records Liaison or alternate for ITD records management programs.
- Maintain document inventories, evaluate document content and format, edit and update records, and develop new documentation.
- Support lifecycle management of records, including retention and disposition requirements.
- Format, control, and track records using approved records management tools and templates.
Data and Information Management
- Support data/information management activities including data dictionaries, data integrity reviews, and source authentication.
- Perform data identification, capture, upload, validation, analysis, storage, and transfer.
- Support data calls by defining requirements, gathering and analyzing data, and submitting responses in required formats.
- Input and manage data across government and non-government databases.
- Generate reports, analyses, and data exports/imports as required.
- Administer collaboration platforms, document libraries, enterprise lists, site collections, and databases.
Facility and Safety Support
- Serve as the point of contact for Public Works and NAVFAC.
- Enter, track, and report facility issues using systems such as MAXIMO and/or ARCHIBUS.
- Update Official Bulletin Boards and disseminate safety-related information.
- Support safety programs, rosters, and reporting through ESAMS or equivalent systems.
- Serve as Alternate Building Fire Warden when requested.
- Review and update the Building Emergency Action Plan (EAP) annually and maintain current occupant rosters.
Quality and Management Support
- Support ITD quality programs and Crane Management System initiatives in alignment with ISO 9001 standards.
- Develop, manage, and control quality-related documentation, processes, templates, and tools.
- Assist with quality metrics development, data collection, analysis, reporting, and tracking.
- Support audit findings, assessments, management reviews, and improvement initiatives using the Crane Action Management System.
Continuous Improvement Support
- Assist in identifying continuous improvement opportunities and improvement candidates.
- Participate in and/or facilitate improvement initiatives, meetings, and process evaluations.
- Support implementation of improvements using Plan-Do-Check-Act (PDCA) and other continuous improvement methodologies.
Risk Management Support
- Support the ITD Risk Management Program by scheduling meetings, preparing documentation, taking meeting notes, and coordinating use of the Crane OPS Center or other risk management tools.
- Assist with ongoing monitoring, reporting, and review of risks.
Qualifications
- Bachelor’s or Advanced Degree in a business or technical field.
- Secret level security clearance
Experience
- 10 years of experience in engineering/science management, operations research, or financial/cost analysis.
- Significant experience supporting U.S. Navy programs or Department of Defense operations.
- Strong administrative, organizational, documentation, and data management skills.
- Experience working in regulated, secure environments preferred.
