About the Role:
The Trust Administrative Assistant plays a crucial role in supporting the operations of BOS Trust Services. This position is responsible for ensuring the accurate and timely processing of trust-related transactions, maintaining client records, and assisting with compliance requirements. The successful candidate will collaborate with trust officers and clients to facilitate effective communication and service delivery. By managing administrative tasks efficiently, the Trust Administrative Assistant contributes to the overall client experience and the integrity of our trust department. Ultimately, this role supports all areas of BOS Trust Services to include operations, administration, and investments.
Minimum Qualifications:
- High school diploma or equivalent; associate's degree in business administration or a related field preferred.
- Proven experience in an administrative role, preferably within the banking or financial services industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
Preferred Qualifications:
- Experience with trust operations and knowledge of fiduciary responsibilities.
- Familiarity with financial software and database management systems.
- Professional certification such as Certified Trust and Fiduciary Advisor (CTFA) is a plus.
Responsibilities:
- Provide administrative support to Trust Operations Officer, Trust Administrative Officer, and Trust Investment Officer.
- Responsible for duties such as check production, deposits, ACH/Wires, daily balancing, check reconcilements, statement production, including tax document tracking & the production of 1099 forms.
- Maintains record retention schedule for client accounts and internal documentation through scanning, filing, and tracking. Ensure proper documentation as required by the FDIC & SEC.
- Assist with the production of documents needed in connection with internal and external audits/exams, including daily reporting, special report production for clients, internal staff, and financial advisors, & maintenance of trust operations procedures.
- Assist Trust Operations Officer with trade settlement, and incoming and outgoing asset transfers.
- Assist with special projects related to trust clients, trust system enhancements and updates.
- Perform duties of Trust Operations Officer as back-up.
- Various other duties.

Salary Range:
The salary range for this position is $38,000.00 - $48,000.00/year, depending on experience and qualifications. In addition to the base salary, compensation may include bonuses, benefits, and other incentives.
