Administrative Assistant | Midtown NYC
We are seeking a polished, professional, and highly organized Administrative Assistant to support daily office operations at our Midtown Manhattan office. This is a full time, on site role for someone who thrives in a fast-paced environment, communicates professionally, and takes pride in maintaining an organized and efficient workplace.
The ideal candidate is dependable, detail oriented, resourceful, and comfortable interacting with clients, vendors, executives, and staff in a professional office setting.
Schedule, Compensation & Benefits
• Full time, salaried position
• Monday through Friday
• 9:00 AM to 5:00 PM
• Salary starting at $70,000 , dependent upon experience
• Health insurance available after 90 days
Responsibilities
• Provide administrative and clerical support to office leadership and staff
• Assist the Office Manager with daily operations and office coordination
• Handle incoming calls, emails, and client communications with professionalism and strong phone etiquette
• Assist with collections follow up, invoice coordination, and administrative tracking
• Maintain organized filing systems, records, and data entry
• Coordinate office organization, supplies, and operational support tasks
• Perform occasional bank deposits and local office errands as needed
• Prepare documents, scan files, and support reporting and correspondence
• Help maintain a professional, organized, and efficient office environment
Qualifications
• Must be able to type a minimum of 50 WPM
• Prior experience in Administrative Assistance and/or Executive Administrative Support
• Excellent communication skills with a polished and professional demeanor
• Strong organizational and multitasking abilities
• Ability to work efficiently in a fast-paced office environment
• Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word
• QuickBooks experience is a strong plus
• Prior experience in facilities services, construction, property management, or related industries is a plus
• Ability to lift up to 40 lbs. and assist with occasional errands or office support tasks
• College Degree
