Overview
Bandai Namco Entertainment Amusement America (BNAA) is seeking a highly organized, detail-oriented, and service-focused IT Administrative Specialist to support daily IT operations across the organization. This position serves as the administrative backbone of the IT function, coordinating user onboarding and offboarding, asset management, procurement, software and application systems and licensing, vendor coordination, documentation, audit support, and general IT operational activities.
The ideal candidate combines strong administrative and organizational skills with a practical understanding of technology and business processes. This role plays a critical part in ensuring IT operations are executed efficiently while maintaining documentation standards, compliance support, and operational controls.
Duties
- Essential Duties and Responsibilities - IT Operations Administration
- Coordinate IT onboarding and offboarding activities for employees, contractors, and temporary staff.
- Track and manage requests for user accounts, equipment, software access, and system permissions.
- Maintain and update employee technology assignment records.
- Coordinate device deployments, equipment returns, and asset recovery.
- Assist with scheduling and communication related to IT projects, upgrades, and maintenance activities.
- Maintain departmental calendars, task tracking, and operational status reports.
Asset Management
- Maintain inventory records for laptops, desktops, monitors, mobile devices, peripherals, and related IT equipment.
- Ensure assets are properly tagged, documented, and assigned.
- Coordinate periodic asset audits and inventory reconciliation activities.
- Track hardware lifecycle and replacement schedules.
- Assist in maintaining accurate records within asset management systems.
Procurement and Vendor Coordination
- Assist with purchasing IT hardware, software, services, and subscriptions.
- Create and track purchase orders and procurement requests.
- Monitor software subscription renewals and maintenance agreements.
- Coordinate with vendors regarding quotes, invoices, deliveries, and contract documentation.
- Assist with invoice tracking and financial reconciliation activities.
- Audit, Governance, and Compliance Support
- Maintain IT documentation, procedures, standards, and operational records.
- Support internal and external audit requests by gathering and organizing required evidence.
- Maintain user access review documentation and compliance tracking records.
- Assist with software licensing compliance activities.
- Support IT General Controls (ITGC), JSOX, and operational audit initiatives.
- Maintain organized repositories of policies, procedures, approvals, and system documentation.
End User Support Coordination
- Serve as an initial point of contact for routine IT requests and inquiries.
- Assist users with basic Microsoft 365-related issues and requests.
- Create, monitor, and follow up on support tickets to ensure timely resolution.
- Coordinate communication between users and technical support personnel.
- Support conference room technology and meeting-related IT logistics.
Documentation and Reporting
- Maintain department SharePoint sites and document repositories.
- Develop and update reports related to assets, licensing, spending, and operational activities.
- Prepare recurring operational summaries and management reports.
- Track departmental expenses and assist with budget reporting activities.
- Maintain accurate records of projects, contracts, and vendor relationships.
Qualifications
Education
- Associate degree preferred.
- Bachelor’s degree in Business Administration, Information Systems, Information Technology, or related field preferred.
Experience
- 1-3 years of administrative, operations, procurement, coordination, or IT support experience.
- Experience working with Microsoft Office applications required.
- Experience supporting technology-related functions preferred.

Primarily office-based environment.
- Occasional lifting and movement of computer equipment up to 25 pounds.

Pay: $60,000.00 - $75,000.00 per year
