ESSENTIAL JOB FUNCTIONS
Inbound Scheduling & Coordination

ESSENTIAL JOB FUNCTIONS
Inbound Scheduling & Coordination
- Manage and maintain the inbound receiving schedule and container calendar.
- Coordinate delivery appointments with carriers, brokers, and vendors.
- Prepare and distribute receiving documents, labels, and staging instructions to the receiving team.
- Assign dock doors strategically to optimize flow and reduce trailer dwell time.
Receiving Operations Oversight
- Supervise unloading of inbound trailers, containers, and LTL shipments to ensure efficiency and accuracy.
- Verify product counts, condition, and documentation (BOLs, packing lists, manifests).
- Oversee use of material handling equipment (forklifts, pallet jacks, conveyors) to ensure proper operation and care.
- Manage refused or return shipments and coordinate with customer service or inventory control for disposition.
Documentation & System Processing
- Review and validate inbound paperwork and ensure timely entry into the Warehouse Management System (WMS).
- Reconcile variances between physical product counts and system data; investigate and correct discrepancies.
- Generate and maintain daily/weekly receiving reports for management review.
- Ensure all documentation meets customer and compliance standards.
Product Inspection & Quality Control
- Oversee inspection of inbound products for damage, labeling accuracy, and compliance with customer specifications.
- Quarantine, segregate, or document defective or damaged goods per SOP.
- Communicate non-conformance issues promptly to quality or customer service teams.
- Support continuous improvement of quality control processes.
Staff Leadership & Workflow Management
- Assign daily workloads and priorities to receiving associates and equipment operators.
- Train, coach, and evaluate team members on receiving procedures, safety, and performance standards.
- Monitor productivity, accuracy, and adherence to SOPs; provide real-time feedback and corrective action as needed.
- Ensure staffing and workflow align with daily inbound volume and operational goals.
Safety & Compliance
- Enforce safety protocols and ensure consistent use of required PPE.
- Conduct daily dock and equipment inspections to maintain a safe and organized workspace.
- Promote safe material handling practices and compliance with OSHA and company standards.
- Support safety initiatives and participate in incident investigations when required.
Inventory & Put away Coordination
- Oversee staging, labeling, and accurate recording of received goods.
- Communicate with put away and replenishment teams to maintain product flow into storage locations.
- Ensure accurate WMS updates for received and staged inventory.
- Collaborate with inventory control to resolve discrepancies or location issues.
Communication & Reporting
- Serve as the primary point of contact for inbound shipment issues and escalations.
- Communicate delays, damages, or discrepancies promptly to management and the customer.
- Participate in daily or shift meetings to provide updates on receiving KPIs, volume, and resource needs.
- Maintain clear, professional communication across all departments (shipping, inventory, planning, QA, etc.).
Continuous Improvement
- Identify bottlenecks processes, propose improvements, and assist in implementing best practices.
- Analyze receiving errors, delays, and inefficiencies to recommend corrective actions.
- Support Lean initiatives or process audits to improve operational performance.
- Encourage a culture of accountability, teamwork, and continuous learning.
