We’re seeking a detail-oriented, experienced Payroll Specialist to join our growing team. This role is ideal for someone who thrives in a fast-paced, multi-client environment and has deep expertise in union payroll, certified payroll reporting, and prevailing wage compliance across multiple states.
Key Responsibilities
- Process weekly and biweekly payrolls for multiple clients, including those with union and prevailing wage requirements
- Prepare and submit certified payroll reports (e.g., WH-347) accurately and on time
- Maintain compliance with federal, state, and local wage laws, including Davis-Bacon and state-specific prevailing wage rules
- Coordinate with clients to ensure proper classification of employees, wage determinations, and fringe benefit allocations
- Reconcile payroll liabilities and ensure timely tax filings and payments
- Collaborate with our bookkeeping and compliance teams to ensure seamless integration with general ledger and job costing systems
- Assist with onboarding new payroll clients, including system setup and process documentation
Qualifications
- 3 years of payroll experience, with a strong focus on union payroll and prevailing wage projects
- Proficiency in Sage, QuickBooks Payroll, Gusto, ADP, or similar platforms
- Familiarity with certified payroll reporting tools and requirements
- Strong understanding of multi-state payroll tax compliance
- Excellent organizational and communication skills
- Ability to work independently, manage deadlines, and handle sensitive information with discretion
Preferred
- Experience with construction, trades, or public works clients
- Knowledge of job costing and integration with accounting systems
