ABOUT THE POSITION

The Baltimore County Register of Wills is a small independent (non-SPMS) Maryland state agency in the judicial branch of government. Our agency oversees the administrative probate process protecting all interested parties and the State of Maryland. This position will perform a progressive level of advanced procedural and administrative work, supporting the operations of the Records department.

POSITION DUTIES

The selected candidate must exercise independent judgement for a variety of circumstances. This position is primarily responsible for providing proficient customer service to the public in-person and over the telephone; completing notices to interested persons and certificates of service; and accurately examining documentation for proper verification and paper reduction initiatives.


The selected candidate may assist with additional duties as assigned by the Supervisor, including accurate and timely docketing and scanning of claims, organizes and filing case jackets to assure orderly records management.


The position may also involve records-related tasks such as preparing mail and postage, handling microfiche, preparing folders for court or new estates, and complying with applicable procedures, policies, guidelines, and statutes, without providing legal advice.



MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years (Deputy I), or Three years (Deputy II) of progressively responsible clerical and/or administrative experience. 

Note: Possession of an associate degree or 60 credit hours in a related field may be substituted for the required experience at the rate of 30 credits for one year of experience.


Required or preferred qualifications

Records management work experience is required.

Prior work experience with data entry is required.

Ability to interpret and apply laws, rules, legal authority, policies, and procedures is required.

Excellent customer service experience, oral and written communication skills.

Proficient computer literacy skills with MS Office Suite, logs/databases, and records management are required. 

Ability to work efficiently, accurately, and with attention to detail under time constraints.

Ability to work with emotionally distressed persons 


SPECIAL REQUIREMENTS:

1. This position is “at-will” and serves at the pleasure of the Register of Wills for Baltimore County.

2. Telecommuting or remote work is not available for this position. 

3. Working hours are determined by the supervisor and aligned with operational hours open to the public.
