Job Description

Coordinates the work of office clerical staff and the orderly flow of work documents within the office. Performs complex and specialized clerical duties in support of student assessment programs. Assists schools in administering electronic assessments. Assists with training. Performs other duties as assigned.

Responsibilities

EXAMPLES OF DUTIES:

  • Coordinates the work and workflow of other support staff assigned to the office. Assists director and supervisor in gathering data in response to audit requests.
  • Facilitates the process of securing, receiving, scanning, inventorying, and distributing test materials.Coordinates the reconciliation of missing materials received by vendors to ensure compliance.
  • Provides customer support by troubleshooting issues with online student assessments to include managing user accounts, access, and assigning privileges in accordance with established guidelines.
  • Provides on-going communication to school test coordinators, administrators, and technology liaisons to support the assessment programs.
  • Maintains security and confidentiality with testing data, materials, and student information at all times.
  • Processes testing platform student transfers for assessments.
  • Assists Supervisor with training sessions to include preparation of materials, scheduling, support to attendees, and tracking attendance to ensure compliance with MSDE.
  • Assists with student accommodations with regard to assessments.
  • Manages the supply/inventory of materials ensuring distribution to and from schools and reconciling to identify any discrepancies.
  • Ensures that documentation required by the state, county, or BCPS policies is accounted for, complete, and archived as required by established guidelines.
  • Distributes test reports to schools such as; home reports, status reports, parent letters, accommodation rosters, and student labels.Assists with preparation of data, reports and other materials in response to inquiries or meetings.
  • Performs other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

Education, Training And Experience

  • Possession of a high school diploma or appropriate equivalent. Six years of administrative office experience.Experience with providing online technical support to customers preferred.

Knowledge, Skills, And Abilities

  • Knowledge of office practices and procedures.Knowledge of spelling, grammar, and arithmetic.Knowledge of personal computers and office software packages.Knowledge of automated office systems.
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, to effectively manage documents and support daily administrative operations.
  • Skill in maintaining databases, spreadsheets, and logs.Skill in maintaining filing systems.
  • Skill in providing routine information to telephone callers and office visitors.
  • Ability to communicate effectively.Ability to perform basic mathematical computations.Ability to follow rules and regulations.Ability to establish and maintain effective working relationships.

Physical And Environmental Conditions

  • The work of this class is generally sedentary and performed in an office environment.Work includes the operation of office equipment, including personal computers, and occasional limited physical activities.

SALARY: Grade 05/ESPBC (12-Month), $26.55 to $44.42 (Hourly Base Pay Scale for Non-Exempt Office Professionals, Clerical, and Classified 2026-2027 Effective July 1, 2026 )

FLSA: Non-Exempt

RETIREMENT: Eligible for the Maryland State Retirement System.

Pre-Employment Requirements

  • All people employed by the Baltimore County Public Schools, regular and temporary, are required to be fingerprinted and have a criminal background investigation (per COMAR) completed. The fee charged for fingerprinting is $109.
  • Anyone offered employment is required to provide proper identification and documentation of eligibility for employment in the US.
  • If you have military experience, you will be asked to provide a copy of DD214.
  • Official transcripts will be required upon hire and must be sent via escript/clearinghouse from your university.
  • Some positions will require employees to undergo a physical examination.
  • All newly hired personnel must attend a Benefits and Retirement Orientation meeting.
  • Additional job verification will be required for salary credit.
