The Safety Administrator plays a key role in supporting and maintaining safety and compliance standards within a trucking and transportation environment. This position ensures the company adheres to all DOT, FMCSA, and OSHA regulations by assisting with safety programs, managing driver qualification files, monitoring hours-of-service (HOS) compliance, and maintaining accurate records. The ideal candidate has strong attention to detail, experience in DOT compliance, and a commitment to promoting a safe culture across all company operations.
Key Responsibilities:- Assist in the implementation and administration of company safety programs and policies.
- Maintain and update Driver Qualification Files (DQFs), including MVRs, medical cards, drug/alcohol test results, and training records.
- Monitor and ensure compliance with FMCSA and DOT regulations, including Hours-of-Service (HOS), ELD data, and driver logs.
- Track and document driver violations, accidents, incidents, and near-misses.
- Assist with accident investigations, compile reports, and support corrective action planning.
- Conduct and document regular safety meetings and training for drivers and staff.
- Coordinate new driver onboarding safety orientation and safety briefings.
- Schedule and track drug and alcohol testing (pre-employment, random, post-accident, etc.) as required by DOT.
- Maintain up-to-date records of vehicle inspections, maintenance logs, and DVIRs.
- Prepare and submit compliance reports to regulatory agencies or management as needed.
- Serve as a point of contact for internal safety questions and concerns.
- 1–3 years of experience in transportation safety or DOT compliance.
- Strong knowledge of DOT/FMCSA regulations and transportation safety practices.
- Experience using ELD systems and safety management software (e.g., Samsara, KeepTruckin, Geotab, JJ Keller).
- Strong organizational, documentation, and record-keeping skills.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
- CDL or transportation industry experience is a plus.
- Safety-related certifications (e.g., OSHA 10/30, Smith System, NATMI) are a plus.
- Office-based with occasional visits to the yard or terminals.
- May require irregular hours or on-call availability in case of accidents/incidents.
- Must be able to work in a fast-paced environment and handle confidential information.
