Our psychiatric practice is looking for an Office Assistant who can independently handle patient coordination and as well aspects of the front office.
Balcones Psychiatry and Mental Health is an outpatient, mental health, private practice in Austin. BPMH is Nurse Practitioner owned and operated bringing a holistic approach to psychiatric care. We opened our doors in January 2020, just in time to face the challenges of COVID-19. In spite of those challenges, we have nimbly adjusted to the changing environment and grown steadily because of our exceptional business model, the extensive use of telemedicine and our patient-centric mission. As our community adjusts to the re-opening of public spaces, we are seeing a gradual increase in patients wanting to return to in-person appointments. We are looking for a full-time or part-time office assistant to help us handle the needs of the changing environment.
The Role of the Office Assistant
The Office Assistant is the patient’s first impression of the practice and must be able to make the patient feel at ease with the process by explaining in understandable terms the details of our policies and our procedures.
The Office Assistant is responsible for the flow of information throughout the practice, including scheduling, refills, pharmacy inquiries, medical record requests and more. For patients, communication means working with patients in person, on the phone, via email, through the patient portal, and sometimes even via text.
The office assistant also acts as a new patient coordinator, responsible for assisting new and potential clients through the registration process, including benefit verification, profile and billing set up, scheduling, and management of the patient’s online portal.
Responsibilities
- Verification of insurance coverage
- Management of patient profiles, accounts and online portals
- Processing patient deposits, copays, and refunds
- Managing calendars for multiple providers
- Confirming upcoming appointment times and type (virtual vs office visits)
- Phone management of new and current patient scheduling, refill requests, medical record requests and miscellaneous questions for (potentially) up to 7 mental health providers
- Greet patients upon arrival, obtaining all necessary paperwork and information, benefit and payment processing
- Special projects, as needed
Requirements
- Must be responsible and able to work with confidential information
- Must be dependable and a quick learner
- Must be customer service oriented with excellent communication skills
- Must have the ability to manage time and prioritize tasks
- Must be confident and comfortable in the use of technology
- Experience with medical billing, medical records, or collections a plus
- High school diploma/GED required
- 2 years previous administrative experience
- Medical office experience preferred
Job Types: Full-time, Part-time
Pay: $17.00 - $19.00 per hour
