Client Experience & Operations Coordinator

About the Role
Balanced Wealth Management is seeking a detail-oriented, personable, and highly organized Client Experience & Operations Coordinator to join our growing team. This role is central to our client experience; you will be the first impression of our firm and a key support partner to our advisors and operations team.
We are a small, collaborative office where every team member plays an important role. The ideal candidate thrives in a fast-paced, client-focused environment and takes pride in creating a warm, professional, and seamless experience for both clients and colleagues.
Key Responsibilities
Client Experience & Front Desk
- Serve as the first point of contact for clients — in person and over the phone
- Greet clients warmly and ensure a welcoming office environment
- Manage incoming calls and route inquiries appropriately
Scheduling & Coordination
- Maintain and coordinate advisor calendars and client appointments
- Assist with scheduling reviews, meetings, and follow-ups
Operations & Administrative Support
- Support the Client Service Manager with submitting annuity and IRA applications (Fidelity platforms)
- Assist with client meeting preparation and post-meeting follow-up communications
- Coordinate with third-party vendors (401(k), 403(b), annuities, broker-dealers) as needed
- Send client cards, gifts, and maintain client touchpoints
Marketing & Communication Support
- Assist in creating and scheduling social media content
- Help manage and maintain the firm’s marketing calendar
- Support planning and execution of bi-weekly client workshops, including preparation, coordination, and follow-up
Qualifications
- Strong interpersonal and communication skills; professional and friendly demeanor
- Highly organized with strong attention to detail
- Ability to manage multiple tasks and prioritize effectively
- Proficiency in Microsoft Office (Excel, Outlook, Word required)
- Comfortable learning financial platforms (Fidelity experience a plus)
- Prior administrative or client service experience preferred (financial services a plus)

Compensation & Benefits
- Hourly position (non-exempt): $24-$26/hour based on experience
- 3 weeks paid time off
