What are the responsibilities and job description for the Office Clerk position at BAKERSFIELD FAMILY MEDICAL GROUP, INC.?
Under the direction of the Administrative Supervisor, this position is responsible to perform administrative office duties such as; answering incoming calls, copying, scanning, faxing, filing and attending to walk-in members, staff and vendors. The Office Clerk will interact with other departments, clinic personnel, and outside providers in a professional and friendly manner, to create and maintain a positive relationship with our internal and external customers.
1.1 Responsible for answering and processing incoming telephone calls in a timely manner utilizing a multi-line telephone system.
1.2 Responsible for securely forwarding patient medical records to an approved provider on a daily basis.
1.3 Request medical records from the referring provider's office when there is lack of supporting clinical documentation to make a determination. Request shall be made by fax or by phone.
1.4 Ability to attend to walk-in members, clients and staff appropriately and demonstrating good customer service
1.5 When assigned to the 4570-building reception area, responsible for distributing, maintaining an accurate log and tracking of all elevator access keycards on a daily basis and reporting any missing cards immediately to supervisor
1.6 Relay authorization status, eligibility, copay information to patients and providers, in a timely manner to comply with health plan, CMS and DMHC regulation timeframes.
1.7 Verification of member eligibility utilizing EZCAP and/or health plan eligibility websites.
1.8 Relay new or termed member information to the Eligibility department, in efforts to maintain up to date eligibility information in systems utilized.
1.9 Ordering of departmental supplies.
1.10 Processing of daily departmental mail.
1.11 Periodically deliver departmental mail to the post office.
1.12 Daily accurate filing of correspondences and/or fax confirmations.
1.13 To be trained to be efficient in daily sorting and distribution of incoming pending referrals and documentation to the Authorization Clerk team.
1.14 Demonstrated the ability to fax, scan, print, copy and file using UM systems and/or equipment utilized.
1.15 Relay messages received regarding incoming stat referrals to the Authorization Clerk team for further processing.
1.16 Communicate with management when/if difficult situations arise and assistance is needed.
1.17 Maintain a clean and orderly work area.
1.18 Maintain assigned duties in an acceptable manner. Keep management abreast if duties fall behind.
1.19 Demonstrate proficiency in computer systems utilized.
1.20 Cultural and Linguistics training required annually.
1.21 All other duties as assigned.
Requirements:
8.1 High school graduate or GED certification, required.
8.2 Typing certification of 40 WPM, required.
The pay range for this position at commencement of employment is expected to be reasonably between $21.00 and $24.71. However, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.
If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
