What are the responsibilities and job description for the Administrative Receptionist position at Bakersfield American Indian Health Project?
Under the direction of the Grants Program Director, the AR is responsible for administrative office duties such as answering incoming calls, mail, inventory, copying, scanning, faxing, filing, and attending to walk-in members, scheduling appointments/meetings, assisting staff/vendors, ordering supplies, processing purchase orders, etc. The AR will interact with other departments, clinic personnel, and outside providers in a professional and friendly manner, to create and maintain a positive relationship with our internal and external clients. The AR performs a broad range of administrative duties as needed.
· Responsible for answering and screening incoming telephone calls in a timely manner utilizing a multi-line telephone system.
· When covering clinic reception desk, has the ability to attend to walk-in members, clients, and staff appropriately and demonstrating good customer service.
· Orders departmental supplies and maintains supply inventory.
· Processes daily departmental mail including receiving, logging, and mailing.
· Daily accurate filing of correspondences and/or fax confirmations.
· Creates and submits Purchase orders in a timely manner.
· Demonstrates the ability to fax, scan, print, copy, and utilize general office equipment.
· Relays messages in a timely manner.
· Effectively communicates difficult situations with the management team and requests assistance as needed.
· Help maintain department cleanliness.
· Maintain assigned duties in an acceptable manner. Keep management abreast if duties fall behind.
· Transcribes meeting minutes as needed.
· Drafts and reviews correspondence and letters as needed.
· Prepares for meetings including preparing room, documents, supplies, etc.as needed.
· Coordinates travel arrangements for offsite meetings including flight, hotel, per diem, etc.
· Facilities and initiates communication with community partners, vendors, intradepartmental, other organizations as needed.
· Performs other duties as assigned.
Job Type: Full-time
Pay: $17.00 - $22.00 per hour
