The Operations Coordinator provides a wide variety of operations support to the programs within the Community Initiatives (CI) Division and serves as a critical member of the Performance Management within the Division. The position is responsible for ensuring that programs have the resources, training, and ongoing support to maintain compliance with applicable standards and regulations and to provide efficient and impactful services to our neighbors in alignment with annual targets and goals. This position will handle multiple assignments in a rapidly changing, fast paced environment.
Expected Positive Outcomes:
- Serves as subject matter expert for the division for Contract Management system and processes, client tracking system, and purchase ordering
- Create and maintain systems to sustain operational standards across the division
- Ensures that programs have the resources, training, and ongoing support to maintain compliance with applicable standards and regulations
- Communicates effectively in both written and oral forms with all levels of management, both internal and external to the agency
- Establish and maintain positive working relationships with internal departments
Core Responsibilities:
- Manages the development, routing, renewal and execution of division contracts, agreements, and MOUs
- Leads the annual policy updates and creation of CI process maps
- Serves as the primary liaison between the division and support service departments such as Marketing, Accounting, Procurement, and Contracts departments
- Serves as the lead trainer for the division; ensures staff are in compliance with all required trainings through tracking, scheduling of trainings, and ongoing support
- Provides support for division meetings and special events, including but not limited to scheduling, set up and breakdown, purchasing supplies and materials, and registration
- Coordinates requests for agency pcards, cell phones, IT equipment, and system access and maintains detailed and accurate records of such
- Assists with the ongoing maintenance of Salesforce database; sets up new users, archive duplicate and incorrect records, and runs reports
- Provides administrative support to division leadership as needed
- Support in collecting data and information for monthly reporting as needed
- Serves as support staff for special projects and direct assistance opportunities as needed
- Performs other duties as assigned
Experience
Required- 2 - 5 years: Administrative Support
- 2 - 5 years: Providing Training to staff members
- 2 - 5 years: Contract Management, Client Tracking Systems, and Purchase Orders
- 2 - 5 years: Process Map creation
Education
Required- High School or better
