Position Overview
The Office Specialist / Operations Support Assistant is a key support role within Baker Avionics. This position works closely with operations and technicians to manage parts inventory, shipping and receiving, customer communication, and aircraft panel documentation photography.
This role involves a combination of computer-based administrative work and hands-on operational tasks in the shop. While some days are busier than others, the position requires steady focus, attention to detail, and the ability to transition between desk work and physical responsibilities as needed.
Core Responsibilities
Parts Inventory & Shipping/Receiving
- Maintain accurate parts inventory levels
- Receive incoming parts, verify accuracy, properly label, and enter into inventory
- Update and upload part information into the maintenance tracking program
- Ship OTC sales and customer-owned avionics
- Properly package outgoing equipment to ensure safe transport
- Maintain organization and cleanliness of the parts room
- Assist with quarterly inventory audits
eBay Store Support (Used / Yellow-Tagged Parts)
- Monitor and respond to buyer inquiries in a timely and professional manner
- Coordinate packing and shipment of sold items
- Ensure accurate fulfillment of online orders
- Maintain organization of listed used inventory
Customer Service
- Serve as first point of contact for all incoming phone calls
- Greet scheduled customers and visitors professionally
- Respond to inquiries courteously, clearly, and confidently
Aircraft Panel Documentation Photography
- Take detailed “before” and “after” photos of aircraft instrument panels
- Ensure photos are clear, properly framed, and accurately document work performed
- Maintain consistent documentation standards
- Safely maneuver in tight aircraft cockpit spaces to capture necessary angles
This responsibility requires strong attention to detail and the ability to move carefully within confined aircraft interiors.
Physical Requirements
- Must be able to lift and move packages and parts weighing up to50 pounds on a regular basis
- Frequent movement between office, shop floor, and upstairs parts room
- Ability to walk stairs regularly throughout the day
- Ability to kneel, bend, crouch, and work in confined areas as part of daily responsibilities
- Ability to safely access and maneuver within tight aircraft cockpit spaces
Qualifications
- High school diploma required; additional administrative or business education preferred
- Experience in inventory control, operations support, or administrative coordination preferred
- Strong computer skills, including Microsoft Office
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Strong organizational skills and ability to multitask
- Professional demeanor and sound judgment
