What are the responsibilities and job description for the Operations Specialist position at Bake Fresh?
Bake Fresh is a 365-day a year operation that includes weekends, holidays, and the potential for overtime. This role is anticipated to work dayshift, Monday-Friday.
Overall Responsibility
The Operations Specialist is responsible for the management of workflow throughout all departments and aspects of the business. The purpose of this position is to optimize daily activities and performance of the business across the supply chain and ensure the highest level of customer service - both external and internal. The role will work closely with the plant management team as well as partnering with the finance department.
Core Job Duties
Essential Duties and Responsibilities include, but are not limited to, the following:
· Coordinating and assisting with –
o Procurement of raw materials and packaging
o Scheduling inbound and outbound freight
o Maintain sufficient inventory levels to meet current customer manufacturing needs
o Conduct cycle inventory and full month end inventory counts
o Investigating and documenting areas of inventory usage as needed
o Daily production downloads and departmental reports needed to run the day-to-day operations
o Weekly customer invoicing and tracking of payments
o Business Central entries, to include purchase orders, consumption, sales orders, transfers, etc.
o Equipment, parts, and other plant/maintenance supplies to the procurement line
· Success in this role includes:
o Accurate documentation of inventory movements in Dashboard
o Timely and accurate reporting of inventory counts and values
o Maintaining inventory and customer invoicing & receivable files in respective system (BC, Dashboard & ERP)
o Coordinating the flow of information with necessary departments as it relates to inventory or customer billings
o Provide troubleshooting/resolution on issues as they arise related to inventory or customer billings
o Verification of receipts versus Purchase Order and making necessary revisions to future orders
· All other duties as assigned
Minimum Qualifications
Requirements
· Proficiency in Microsoft Excel and ERP data entry (purchase orders, sales orders, transfers, consumption)
· Strong attention to detail and documentation accuracy
· Cross-functional communication — coordinating with plant management and finance
· Problem-solving / troubleshooting on inventory and billing discrepancies
· Self-motivated and able to manage competing priorities
Preferred (nice-to-have)
· Familiarity with food-safety / GMP requirements in a manufacturing setting
· Knowledge of procurement best practices and supplier management
Education/Experience
- Associate's or Bachelor's degree preferred.
- High School Diploma / GED required
- 2–3 years in operations, inventory control, procurement, or supply chain — ideally in a food manufacturing or other regulated production environment preferred.
- Hands-on experience with ERP/inventory systems (the duties name Business Central, and Dashboard) preferred.
- Procurement and freight/logistics coordination (inbound & outbound) preferred.
- Cycle counting and month-end physical inventory preferred.
Work Environment
The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in a manufacturing environment. Inside an air-conditioned building with normal temperatures between 70 and 80 degrees. Minor smoke/smell from ovens and dryers. Contact with food allergens like wheat, egg, soy, milk, peanuts, and tree-nuts. Occasionally required to enter walk-in-cooler or freezer for a short period of time with normal temperature between 0 to 40 degrees.
Physical Requirements
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands, handle or feel; and reach with hands and arms. Must be able to lift up to 50 lbs. Stooping and bending may be below the knees, lifting and reaching may be above shoulders. On foot on a continuous basis. Grasping, pushing, pulling as needed.
