Position Summary
The Proposal Coordinator / Proposal Manager plays a critical role in supporting the development, organization, and delivery of high-quality responses to RFPs, RFQs, proposals, and customer inquiries for commercial solar, battery storage, and related energy projects. This role requires a detail-driven professional who can interpret complex solicitation documents, coordinate inputs from multiple internal teams, and assemble polished, accurate proposal packages under tight deadlines. This position will also provide operational and administrative support to the Energy Team.
Key Responsibilities
RFP / RFQ Review & Proposal Development
- Review and interpret RFPs, RFQs, and other solicitation documents to identify requirements, scope elements, deliverables, deadlines, and evaluation criteria.
- Lead and coordinate the full proposal development process, including technical, commercial, scheduling, safety, and financial components.
- Develop proposal outlines, compliance matrices, and responsibility assignments for internal contributors.
- Coordinate inputs from engineering, estimating, procurement, construction, safety, and leadership to build accurate and complete proposal packages.
- Prepare or assemble sections such as:
– Company introduction / qualifications
– Basis of design, material assumptions, equipment selection
– Utility/AHJ requirements and site requirements
– Labor, travel, procurement, and construction pricing
– Safety program documentation
– Finance options and customer-value narratives
- Ensure proposals are compliant, well-structured, professionally formatted, and aligned with company branding standards.
- Track all deadlines and ensure on-time submission of complete proposal packages.
- Maintain and update proposal templates, boilerplate language, resumes, project sheets, and qualification materials.
Cross-Team Coordination
- Collaborate with engineering to obtain accurate one-lines, layouts, system assumptions, and production data.
- Work with estimating and procurement to gather equipment quotes, material pricing, and labor assumptions.
- Coordinate with operations and project management for schedules, constructability insights, logistics, and site requirements.
- Interface with safety and compliance teams to collect the appropriate documents for submittals and proposals.
- Manage version control, document flow, and communication among all contributors.
Energy Team Support
- Support scheduling, document organization, meeting coordination, and follow-up on action items for the Energy Team Lead.
- Maintain organized libraries of drawings, specs, project data, templates, and proposal materials.
- Assist with contract coordination, including reviewing terms for alignment with proposal assumptions.
- Support development of internal processes, templates, and resource databases.
- Help streamline administrative aspects of project development so technical staff can focus on engineering and analysis.
Qualifications
- 3–7 years of experience in commercial solar, BESS, energy, or construction-related proposal work or equivalent experience in technical proposal coordination.
- Demonstrated experience reviewing and responding to RFPs/RFQs, preferably in a construction or energy environment.
- Strong organizational skills with the ability to manage multiple deadlines and shifting priorities.
- Excellent writing, formatting, and document-assembly skills; ability to craft clear narratives and professional proposal sections.
- Ability to understand technical concepts, drawings, scopes of work, and commercial terms.
- Experience coordinating cross-functionally with internal and external contributors.
- Strong attention to detail and a high bar for accuracy.
- Proficient in Microsoft Office, Google Workspace, and PDF markup tools; familiarity with basic industry software.
- Self-starter with a proactive approach, strong follow-through, and comfort working in a fast-paced environment.
- Team-oriented mindset and willingness to assist with operational or administrative tasks when needed to support the Energy Team.
- Bachelor’s degree in finance, business, project management, construction management, engineering, or related field.
Salary : $85,000 - $130,000
