Job Summary: As a Front Office Administrator at Baikie Bianchi Family Medicine, you will play a crucial role in ensuring the clinic runs smoothly by providing assistance to patients, providers, office employees, and other individuals. You will be responsible for greeting and checking in patients, scheduling appointments, answering phones, obtaining, and updating patient accounts, and other tasks. From the moment the patient walks through the door, or calls, they should feel like part of the family. Whether in person or over the phone, you are typically the first face or voice our patients will see or hear, which makes you an integral part of the team.
Qualifications:
-High school diploma or equivalent.
-Excellent customer service skills, and pleasant phone demeanor.
-Ability to multitask and manage time effectively.
-Ability to work well with others and work as a team.
-Compassion, empathy, and a commitment to patient care.
-Strong interpersonal and communication skills.
-Excellent attention to detail and organizational abilities.
-Proficiency in basic computer skills and electronic health records (EHR) systems.
-CPR/BLS certification (preferred)
Job Roles and Responsibilities:
-Create a welcoming atmosphere by greeting patients and visitors to the clinic.
-Protect patients right of confidentiality.
-Check patients in and out in a timely manner.
-Schedule new patients and follow up appointments, in office testing, and procedures.
-Obtain and update patient identification, demographics, and insurance information.
-Collect co-pays, and payment for self-pay patients, and procedures
-Manage a multiline telephone system efficiently and politely, minimize hold times as much as possible, route phone calls to appropriate personnel, and take detailed messages.
-Comfort patients and answer any questions they may have to the best of your ability.
-Keep providers, medical assistants, and other related staff updated with any scheduling changes, patient details, and potential service delays throughout the day.
-Maintain front office supplies and keep updated list of supplies needed.
-Coordinate transportation for patients as needed.
-Help respond to medical emergencies if needed.
-Ensure the cleanliness and organization of the waiting room and common areas.
